Tenancy Team Leader
Due to an internal promotion, my client is seeking a Tenancy Administrator (Team Leader) to support the smooth running of the tenancy management team.
In this role, you will act as the first point of support for team members, ensuring workflow is well-organised and day-to-day tasks are completed efficiently. While the Senior team members will retain responsibility for the more complex areas—such as deposit disputes, complaints, and high-level correspondence—you will maintain oversight of the team's activity, providing guidance and practical support.
You will be working with a mix of trained and newer staff, helping them to settle into their roles and develop confidence in their responsibilities. Although you will not hold formal responsibility for staff appraisals or performance management, you will play a valuable role in providing feedback to the manager to inform these processes.
With this in mind, it would of course be helpful if you have prior experience as a Team Leader or have previously demonstrated the ability to 'step up' in a role within property management or a related field. This relatable background would give you the confidence and gravitas to support and guide the team effectively
You will need to demonstrate that you are highly organised to ensure the smooth running of the lettings and property management processes. This role suits someone with exceptional administrative skills, strong attention to detail, and ideally previous experience in lettings, property management or associated field.
Responsibilities
* Overseeing the workflow of 4 tenancy administrators
* Prioritising and delivering tasks/activities and supporting team members until completion
* Dealing with queries from team members and supporting with challenging communication/situations
The workflow undertaken by the Team you would be part of.
* Respond to tenancy-related queries by phone and email, offering clear and timely communication.
* Process and track initial tenancy applications, ensuring all documents and checks are completed.
* Raise and coordinate essential property safety certificates
* Complete check-out inspections and manage all related post-tenancy administration.
* Handle tenant deposit returns and disputes in accordance with deposit protection scheme.
* Conduct routine property inspections, record findings, and update internal databases.
* Produce detailed inventories
* Adapt to handle various ad hoc administrative and property-related tasks as required.
Skills
· Ability to support, guide, and bring together a mix of trained and newer staff, helping them work confidently and effectively as a team.
· Strong administrative skills with excellent attention to detail.
· Clear and confident communication skills, both verbal and written, to effectively liaise with clients and colleagues.
· Highly organised with the ability to manage multiple tasks simultaneously.
· A proactive approach to problem-solving and negotiation.
