Team Secretary - Integrated Learning Disability Service

Open only to applicants from Hampshire & Isle of Wight NHS system, which is limited to: Hampshire and Isle of Wight ICB, Hampshire & Isle of Wight Healthcare FT, Portsmouth Hospitals University NHS Trust, University Hospital Southampton FT, South Central Ambulance Service or Hampshire Hospitals FT.

This post is to provide comprehensive administrative support to the Integrated Learning Disability Service in Portsmouth. Based in Civic Offices in Portsmouth, we support people within Portsmouth that have a learning disability.

You will be joining a friendly, supportive and creative administration team that supports the whole team in developing and providing a high-quality service which complements all of the work we do. The role will be varied, and will involve working alongside various members of the team, and occasionally service users.


Main duties of the job

* To be responsible for the production of typed documents for the Service following formats and practices as required by the Service and agreed with the Administration Manager.
* To administer petty cash in accordance with the Trust's Code of Financial Procedure.
* Using SBS ordering system ensure maintenance of stationery and other stock items for the Service.
* To participate in general office duties including answering the telephone, reception, photocopying, dealing with enquiries, distribution/collating of incoming and external mail.
* To adopt tasks undertaken by other admin team members during periods of annual leave and sickness.
* Attend meetings as required, taking, transcribing and disseminating of minutes, some of which may be complex.
* To update and distribute protocols and procedures under the direction of the Service Manager.
* To support various professionals / elements of the team with administration support as required.
* Organise appointments, large and small meetings, workshops and functions. Coordinate dates, book venues, equipment.
* To attend monthly supervision, team meetings and appraisals.
* Maintain the Service's high standards of customer service, by responding in a helpful and friendly manner to all interactions with colleagues, service users and other professionals. This may include dealing with complex information or where there are barriers to understanding.
* To assist other team members with work as required to ensure the smooth running of the office.

Person Specification


Qualifications

* RSA 3 Typing or Equivalent
* Business and Admin NVQ Level 3 equivalent


Experience

* Experience of administrative work
* Experience of maintaining filing systems and collating information
* Experience of working in a customer-focused environment
* Experience of working in a constantly changing environment without direct supervision
* Experience of supervising and appraising staff

o Good communication skills, written and verbal (including telephone skills and note taking)
o Ability to work as part of a team
o Ability to input accurately to electronic information systems

o Literate and Numerate
