About the role

The Charity Administrator plays a vital role in ensuring the smooth and efficient operation of inspire+ administrative processes. This role will involve working across all service areas of the charity, these include apprenticeships and education provision, community and school provision.

This role supports the delivery of inspire+ programmes by handling day-to-day office duties, supporting service users, learners and staff, handling enquiries and queries, maintaining records, and ensuring compliance with regulatory requirements. The role will also support the work of the senior leadership team and trustees, support administration of key tasks and aims for the charity.

About inspire+

Inspire+ is a highly reputable Sport and Education charity founded in September 2011. Our vision is to ensure young people are 'Healthy, Happy and Active'. We achieve this by realising our aims of increasing young people's physical activity and wellbeing through both education and community settings.

As well as providing a comprehensive and valued programme of support for schools, the charity is also a leading PE and School Sport apprenticeship training provider. Alongside these projects the charity is establishing a new community hub. This role will play a key role in the promotion and marketing of this community facility.

Key Responsibilities

* Provide general administrative support including answering calls, responding to emails, and managing general enquiry inboxes.
* Maintaining accurate records of internal databases for the key services the charity provides.
* Assist and support with the enrolment and assessment processes for learners, collecting and collating key information.
* Schedule key appointments such as webinars and meetings for staff, learners and employers.
* Monitor and manage inboxes and distributing correspondence appropriately.
* Support quality assurances processes and preparation for audits and inspections along with other compliance checks.
* Handle data entry and document management, ensuring all records comply with data protection regulations.
* Support and manage the charity website by making necessary updates and amendments.
* Support internal and external communications and distribute materials and documentation to staff, learners and other service users.
* Order office supplies and inventory.
* Assist in key event planning such as Mini Olympics, apprenticeship induction week and Inspire+ Annual Gala Dinner.

Key Relationships

* CEO, Trustees and Senior Leadership Team – Report to the charity leadership team and work closely with them providing administrative support for senior leadership / trustee meetings.
* Education Team – Provide administrative support for the Head of Education and tutors around key events during the year such as induction, end of year celebrations, recruitment windows.
* Community Team – Work closely with Head of Community. Provide administrative support around managing bookings and correspondence with parents using our HAF and Hub provision.
* Inspire Education Group (IEG) – Support the Head of Education with the management of correspondence around key events with IEG such as induction, enrolment and assessment working closely with IEG apprenticeship and recruitment officers.
* Marketing Executive – Work directly with the Marketing Executive to delivery key messages that contribute to the charity meeting its aims and objectives.
* Service Users and Stakeholders – Build and maintain relationships with all service users and stakeholders, specifically school administrators and business managers.

Person Specification

Essential:

* Previous experience in an administrative role.
* Strong IT skills including proficiency in Microsoft Office (Word, Excel, Outlook).
* Excellent organisational skills and attention to detail.
* Strong written and verbal communication skills.
* Ability to manage multiple tasks and work to deadlines.
* A proactive and flexible approach to work.

Desirable:

* Experience working in a charity or educational / training environment.
* Knowledge of apprenticeship standards and funding rules.
* Familiarity with management systems (e.g., Magic bookings, Monday, OneFile, TALIS or similar).
* Understanding of GDPR and safeguarding responsibilities.
