Reports to: Director of Sport Contract: [Full-time / Part-time – to be confirmed] Hours: [To be confirmed – may include occasional early mornings, evenings or weekends in line with fixtures]


Job Overview

This position plays a vital role in supporting the Director of Sport by delivering efficient, accurate and well organised administrative support for all sporting activities at Radnor House Sevenoaks.

This role is based in the Fitness Suite and combines sports administration with the day-to-day oversight of students and staff using the gym facilities, ensuring a safe, welcoming and well managed environment.


Key Responsibilities


Sports Administration

• Provide comprehensive administrative support to the Director of Sport.

• Coordinate all sports fixtures, including:

o Liaising with opposition schools and sports providers o

Booking transport, officials and facilities o Managing fixture calendars and communicating changes

• Maintain accurate records of fixtures, teams, results and participation.

• Support the organisation of sports events, tournaments and competitions, both on and off site.

• Assist with the administration of sports trips, including registers, consent forms and logistics.

• Ensure timely communication with staff, students and parents regarding fixtures and schedules.

• Maintain sports-related documentation and systems accurately and confidentially.


Fitness Suite & Gym Administration

• Be the first point of contact for students and staff using the Fitness Suite.

• Oversee the safe use of gym equipment in line with school procedures and risk assessments.

• To conduct gym induction sessions as required and to maintain all records of induction

• Support the safe operation and supervision of the school swimming pool when required, taking responsibility for pool oversight at designated times in line with training, risk assessments and school procedures.

• Monitor student access and usage, ensuring appropriate supervision and conduct.

• Support staff and students with booking processes, induction arrangements and basic equipment guidance (where appropriately trained).

• Report any health and safety issues, equipment faults or concerns promptly.

• Ensure the Fitness Suite remains organised, professional and welcoming.


Health, Safety & Safeguarding

• Promote and maintain a strong culture of health and safety within the sports department and Fitness Suite.

• Uphold the school’s safeguarding and child protection policies, reporting any concerns in line with procedure.

• Ensure compliance with school policies, including data protection and confidentiality.


General

• Work collaboratively with teaching and support staff across the school.

• Provide flexible support to the sports department as required during busy periods.

• Undertake training and professional development relevant to the role.

• Carry out any other reasonable duties as requested by the Director of Sport or Senior Leadership Team.


Skills and Qualifications:


Essential

• Strong organisational and administrative skills with excellent attention to detail.

• Previous experience in an administrative or coordination role.

• Confident interpersonal and communication skills.

• Ability to manage multiple tasks and work calmly under pressure.

• High level of professionalism and discretion, particularly when working with students.

• Competent IT skills, including Microsoft Office and digital scheduling systems.

• A recognised fitness-related qualification (e.g. Level 2 or Level 3 Personal Training, Gym Instructor, or equivalent), enabling safe supervision of gym and fitness equipment.

• Understanding of, or willingness to learn, safeguarding responsibilities in a school environment.


Desirable

• Experience working in a school or sports setting.

• Knowledge of school sports fixtures or extracurricular programmes.

• Familiarity with gym or fitness environments.

• A relevant swimming or pool related qualification (e.g. Swim England / STA, Basic Pool Plant Awareness, or equivalent)

• First Aid or relevant health and safety training (or willingness to undertake training).
