Overview
Job title: Receptionist/Administrator. Hours: 25 hours per week, Monday to Friday, 1:00 pm – 6:00 pm. This maternity cover position will join a multi-disciplinary clinical team providing a high standard of care for a practice population of approximately 4,500 patients. The practice is in a modern purpose-built building with free staff parking and good public transport links.
Responsibilities
* This varied role combines both face-to-face and telephone work with patients.
* Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
* Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
* Facilitate effective communication between patients, the primary health care team, secondary care and other associated healthcare agencies.
* Open up/lock up of practice premises and maintain security in accordance with Practice protocols, when necessary.
* Maintain and monitor the practice appointments system.
* Process personal and telephone requests for appointments, visits and telephone consultations and ensure callers are directed to the appropriate healthcare professional.
* Process and distribute incoming (and outgoing) mail; take messages and pass on information; filing and retrieving paperwork.
* Process repeat prescriptions in accordance with practice guidelines; computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
* Initiate contact with and respond to requests from patients, other team members and associated healthcare agencies and providers.
* Clear and re-stock consulting rooms as required.
* Provide clerical assistance to practice staff as required (word processing, data processing, filing, photocopying and scanning) and order, re-order and monitor stationery and other supplies.
* Deal with clinical waste and keep the reception area tidy and free from obstructions and clutter.
* Provide refreshments for staff and visitors as required; maintain kitchen area to a clean and tidy standard.

* In the course of seeking treatment, patients entrust us with sensitive information and have the right to expect privacy and appropriate handling.
* The post-holder may have access to confidential information relating to patients, carers, practice staff and other healthcare workers; all such information must be treated as strictly confidential.
* Information relating to patients, carers, colleagues or the business of the practice may only be divulged to authorised persons in accordance with practice policies and data protection requirements.
Health & Safety
The post-holder will assist in promoting and maintaining health and safety as defined in the practice policies and infection control procedures. This will include:
* Using personal security systems within the workplace and identifying risks involved in work activities.
* Maintaining a tidy and safe work environment and using infection control procedures.
* Keeping up-to-date with training and reporting health and safety hazards immediately when recognised.
* Undertaking periodic infection control training (minimum annually).
* Reporting potential risks identified.

Experience
* Essential: Experience of working in a customer service role.
* Desirable: Experience of working in a GP practice; experience of working in a healthcare setting.
Qualifications
* Essential: GCSE minimum grade C/4 in English & Maths.
