This is a key role in a small but high-profile governance team within the University Secretary’s Office. The Governance Coordinator & Administrative Assistant will provide administrative and practical support for the cycle of committee meetings, support the annual review of memberships of all University committees, scheduling of future meetings, and support updates to constitutional documents and the register of members’ interests. The post reports to the Head of Governance. We are open to considering a secondment and flexible working arrangements where possible.

Main Duties And Responsibilities
* Support to Council (the University’s governing body), Senate, and the University Executive Board: provide administrative support for meetings and associated events, including away days, external speakers, dinners and pre-meeting briefings, and campus tours or visits.
* Support To Other University Committees: provide administrative support for Council sub-committees, Senate sub-committees and UEB sub-groups, including drafting agendas, liaising on item scheduling, circulating papers, and making logistical arrangements.
* Provide support to the Senior Governance Coordinator: review, maintain and publish central University committee memberships; coordinate elections for Senate and Council members; arrange venues and practicalities for committee meetings; support updating the University Calendar and Calendar regulations; maintain the Register of Interests and internal records; keep formal records for governance bodies; monitor the team’s email accounts.
* Other Activity: undertake tasks with initiative, manage workload, file, maintain databases, produce documents using Google and Microsoft Office, and support ethical and sustainability commitments where possible.
Person Specification and Qualifications
Essential criteria include excellent IT skills, ability to interpret instructions and procedures, effective written and verbal communication, strong interpersonal and customer service skills, high level of organization and ability to work under pressure, accuracy and attention to detail, ability to plan multiple activities, ability to work with minimal supervision, and ability to engage with internal and external stakeholders at all levels. Additional essential attributes cover confidentiality, scheduling meetings, and experience of managing sensitive issues.
