Job summary

Cumbria Health are looking for a Medical Secretary to join their team at Upper Eden Medical Practice.

We are looking for an organised and efficient administrator to provide essential support within our team. The role involves managing referrals to secondary care, liaising with the ICC hub, handling patient queries, and maintaining clear communication with hospitals. Additionally, you will be responsible for sensitive tasks such as death administration, ensuring all processes are completed accurately and with compassion. This position requires strong attention to detail, excellent communication skills, and the ability to manage confidential information effectively.

This is a temporary position covering maternity leave – there are 27 hours per week available.

Main duties of the job

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.

Duties can include, but are not limited to, the processing of information, liaising with multidisciplinary team members and external agencies, in accordance with current policies. Processing patient referrals using the electronic referral service (ERS).

Job responsibilities

* Bloods allocation
* E‑Referral service referrals including Fast Track/2WW referrals
* Community service referrals
* Liaising with ICC Hub and hospitals regarding patient care
* Sharing blood results/patient details as required with hospitals and third parties
* Maintaining and developing relationships with hospital and third parties
* Monitoring and updating fast‑track referrals spreadsheet
* E‑Referral worklist management
* Managing the secretaries and practice generic email inboxes
* Advice and guidance
* Assisting and advising the GPs on referral services/keeping GPs up to date with information
* Referral management on EMIS Web
* Using ICE/Indigo to access patient results where needed for GPs/Nurses
* Administration of death notifications and liaising with Medical Examiners Office and local undertakers
* Any other duty as instructed by the management team


Person Specification


Qualifications

* Essential – GCSE English Language and Mathematics (Grade C or above) or equivalent
* Desirable – RSA II or equivalent in typing or word processing


Experience

* Recent experience of working in a busy practice or office offering varied administrative and secretarial support


Attributes

* Self‑motivated, enthusiastic and willing to learn
* Ability to relate to a broad spectrum of individuals within the organisation and elsewhere


Knowledge

* Knowledge of Microsoft products (Word, Excel, PowerPoint, Outlook) and use of the internet and e‑mail systems
* Familiarity with practice/office administration procedures


Skills and Aptitudes

* Good communication skills, both oral and written
* Ability to record dictation and accurately reproduce in letter and report formats
* Good organisational skills
* Effective administrative and secretarial skills
* Ability to prioritise workload
* Ability to work on own initiative
* Ability to work under pressure and at speed (recording dictation)
* Ability to take minutes of meetings
