Key Responsibilities
SYMCA is dedicated to driving forward digital and technological transformation across the region. Our Digital and Technology Services (DTS) team plays a critical role in ensuring the smooth operation of our digital services. We are seeking a highly organised and proactive Project Support Officer to join our team, providing comprehensive operational support in a fast-paced and dynamic working environment.
As the Project Support Officer for the DTS team, you will be offering efficient administrative support across various tasks, ensuring the department operates smoothly and effectively. You will play a key role in managing diaries, producing documentation, liaising with internal and external stakeholders, and maintaining high standards of confidentiality and accuracy within the department.
Key Responsibilities:
* Handling telephone, email, and face-to-face enquiries. Provide advice, guidance, and relevant information as needed.
* Provide high-quality administrative assistance, including production of meeting minutes, diary management, document preparation and tracking actions and milestones.
* Develop and implement efficient administrative systems and processes to improve existing arrangements, ensuring all data is accurate and in compliance with Data Protection and GDPR policies.
* Establish and maintain appropriate office systems, ensuring that sensitive and confidential information is handled and stored correctly.
* Liaise with and build strong working relationships with internal and external stakeholders, including politicians, government departments, and senior executives.
* Keep internal customers updated on the progress of requested work, ensuring clear communication at all times.
Skills, Knowledge and Expertise
Knowledge & Skills Required:
* Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
* Understanding of legislation affecting IT, including GDPR, Equality Act, Computer Misuse Act, and health and safety legislation.
* Previous experience in an administrative role.
* Experience working with highly confidential, sensitive, and contentious information.
* Strong experience in producing professional documentation and reports using Microsoft products.
* Ability to develop business systems, processes, and procedures to increase efficiency.
* Excellent organisation and time management skills with the ability to meet deadlines under pressure.
