About the role
We have a new opportunity for an Office Administrator to join our team based in Plymouth.
The role of the Office Administrator provides essential support to the Office Manager, assisting the engineering and management teams within our busy Plymouth and Exeter office teams, and plays an integral part of the administration and management team. The role will involve assisting with the coordination of bid submissions for some of the most exciting projects in the industry to achieve contract wins as well as supporting with the day to day running of the office and events. Administrators have a good overview of their responsibilities - covering reception and ensuring visitors are welcomed positively are key duties.
In this key and varied role, you can expect to:
1. Provide general office administrative support, including managing incoming calls, meeting and greeting visitors, and monitoring and responding to email enquiries
2. Manage diaries, including the organisation and coordination of internal and external meetings, and booking ad-hoc travel and accommodation
3. Oversee the management and ordering of stationery and office supplies
4. Prepare creative content and supporting materials to help develop and coordinate bid responses
5. Ensure timely and accurate submission of tenders in line with established processes and deadlines
6. Maintain and uphold Hoare Lea brand standards across all documentation and outputs
7. Provide administrative support to engineers, including preparing/proofreading/formatting/scanning ad-hoc documents
8. Work collaboratively with the wider office and central teams to support business needs
9. Coordinate the onboarding process for new starters
10. Support recruitment administration, including coordination of work experience placements
11. Contribute to STEAM initiatives and wider engagement activities
12. Support the management of key tender portals, registrations, digital marketing channels, and the updating of company information
About you

24. Calm and patient disposition
25. Experience in formatting, reviewing and proofreading materials for content and accuracy
26. Proven experience in an administrative role; industry knowledge is desirable
