Responsibilities
* Schedule all regeneration jobs daily in a productive manner, taking into consideration operatives’ capacity as directed by the Reactive Works manager and Project Managers. This includes all direct repairs, coordination with subcontractors and includes the following but not limited to key tasks.
* Arrange in conjunction with Project Manager each operative’s daily works schedules including booking all appointments with residents.
* Raise works orders as received from the client including overseeing and ensuring works scheduled to ensure completion timescales are met within the client’s expectations.
* Provide detailed updates to the client via e-mail, telephone or by any other agreed communication.
* Create daily, weekly or monthly status reports of the repairs including preparation of reports for monthly client meetings.
* Support Project Manager and Reactive Repairs manager with management of on-site stock and replenishments.
* Coordinate site deliveries with various key supply chain businesses to ensure deliveries are with trade teams when necessary to facilitate works.
* Learn and understand all business systems to maximise efficiency and productivity for the business.
* Create purchase orders and provide to supply chain as necessary.
* Update Filemaker system to ensure a flow of works and ensure works status categories are updated in real time.
* Assist with programming projects being carried out through the West office including ordering materials and arranging commencement letters prior to works commencement.
* Collate weekly timesheets and submit to finance department on a weekly basis within a structured timescale.
* Create spreadsheets and tenant letters as projects demand.
* Assist Reactive Repairs Manager and project managers with collation of invoicing and subsequent submission to clients for payment.
* Participate in OOH call out service on a rota basis to ensure 24/7 coverage for business customers (set rate overtime paid).
Qualifications/Experience
* Preferred: Standard Grade English, Mathematics and Administration or equivalent.
Skills
* Experience of working in an projects co-ordinater/planning role is preferred.
* Ability to prioritise and meet deadlines.
* Previous experience of inputting/updating databases is essential.
* Ability to work as part of a team as well as on own initiative.
* Excellent attention to detail.
* Excellent communication and interpersonal skills.
* Ability to meet and exceed customer expectations.
* Experience of Outlook packages (Excel, Word, Outlook).
