The Opportunity
Global Finance PMO - Payroll Project Manager role sits within the Finance Business Services (FBS) PMO and supports the newly established Global Payroll function. Working alongside the Group Head of Payroll, you'll help review and enhance existing payroll processes and support the implementation of a unified global delivery model aligned with Arup’s Payroll Strategy.
Support the Global Payroll team in reviewing and documenting of existing processes, championing and promoting incremental improvements across the global payroll delivery teams, driving enhancements across the domestic and mobility payroll life cycle.
Support the Global Payroll team to operationalise the Global Payroll Strategy, moving from the current diverse landscape of in country, regional, SSC and multiple vendors landscape to a common delivery model.
The role will be responsible for the delivery of defined Payroll projects on a day-to-day basis including:
1. Lead delivery of global payroll projects, ensuring efficient and effective execution.
2. Align stakeholders and business owners on responsibilities and timelines.
3. Coordinate internal/external project resources and manage dependencies.
4. Establish and maintain planning, governance, and risk management frameworks.
5. Monitor progress, resolve issues, and escalate when needed to meet deadlines.
6. Manage stakeholder relationships and set clear expectations throughout projects.
7. Facilitate meetings/workshops to gather requirements and drive collaborative solutions.
8. Track and report progress, performance, and budget adherence within governance frameworks.
9. Conduct post-project reviews and handover to business-as-usual operations.
10. Maintain project documentation, including briefs, plans, reports, and registers.
11. Capture lessons learned and apply them to future projects.
12. Use project management tools (e.g. MS Project, Risk Analysis) for oversight and transparency.
Requirements
We’re interested in speaking with people who have experience in the following:
13. Proven experience delivering end-to-end projects, including payroll systems in global finance environments
14. Strong project management skills across planning, budgeting, reporting, and RAID management (Risks, Assumptions, Issues and Dependencies)
15. Effective stakeholder engagement with clear communication and decision-making influence
16. Skilled in juggling competing priorities and managing cross-functional project teams
17. Change management capabilities, including creating training and communication materials
18. Confident in using initiative, sound judgment, and adapting delivery approaches
19. Collaborative style, building trusted relationships across teams and functions
20. Proficient in Microsoft Project, financial systems, and Excel
