The role
Duties & Responsibilities
The duties are broadly grouped into three main areas. The following should be taken as an
indication of the tasks required in each area rather than an exhaustive list.
Reception
• Welcome visitors to the College, ensuring they are well cared for and that the reception
area is maintained to a high standard, with refreshments available.
• Ensure visitors sign in, IDs are checked, and appropriate coloured lanyards are issued in
line with the Visitors Policy.
• Take and pass on accurate messages to relevant colleagues in an efficient and friendly
manner.
• Respond to parent, guardian, and agent queries promptly and professionally.
• Monitor and manage the enquiries email inbox.
• Liaise with staff to support pastoral care for students.
• Handle incoming and outgoing post, deliveries, and couriers.
• Act as a point of contact during emergencies, ensuring visitors and students follow safety
protocols.

• Maintain a professional and welcoming environment, including up-to-date signage and
information displays.
• Monitor visitor movements and report any security concerns to the appropriate staff.
Administrative Support
• Support the Attendance Officer in monitoring student attendance and following up on
absences.
• Print fire registers daily and ensure compliance with safety procedures.
• Organise and manage the return of student uniforms.
• Assist with the arrivals process for new students, including checking and uploading prearrival information into iSAMS.
• Manage and order stock of stationery and other day-to-day consumables.
• Provide administrative support to HR, including verifying DBS certificates.
• Create and maintain tables, reports, mailing lists, and other student database information
required by teaching and support staff.
• Assist with event management and logistics.
• Coordinate calendar updates on iSAMS and oversee room booking requests.
• Prepare and distribute the weekly staff bulletin.
• Take notes during weekly staff briefings and share promptly.
• Assist with uniform shop and help with the management of storing student belongings
over the summer.
• Ensure photocopier areas are tidy and stocked with paper.
• Maintain accurate filing systems (digital) for easy retrieval of records.
• Ensure all handling of student and staff data complies with GDPR and College policies.
• On occasions notes taken at meetings.
• Assist with ad-hoc projects as directed by senior Colleagues.
Knowledge and Experience
• Understanding of safeguarding principles is essential with a willingness to undertake
training.
• Evidence of excellent IT and administrative skills is essential.

• Excellent and up-to-date understanding of MS Office, including Excel, Outlook, Word, and
Teams, is essential.
• Excellent written and spoken communication skills are essential.
• Knowledge of iSAMS or equivalent management information systems is desirable.
• Experience of working in a College environment is desirable.
• Experience of working with international students and families is desirable.
