The Digital Health and Human Rights Project, based in the Centre for Interdisciplinary Methodologies (CIM) at the University of Warwick and funded by Fondation Botnar, is seeking a Project Support Assistant to support BAU and closeout activities.

The project is a multi-country research, policy and education collaboration led by a consortium of civil society organisations, academics, and networks of people living with HIV in low- and middle-income countries. The post-holder will play a key to ensure that the day-to-day operations are efficiently implemented and will contribute to ensuring a successful project closeout.

Duties and responsibilities

* Project coordination and communication
* Maintain communication with and among the Digital Health and Rights Project consortium members, including Warwick staff. This will include maintaining current contact lists and orderly information organisation on Next Cloud; onboarding and offboarding staff and collaborators on our platforms; maintaining mailing lists and social chat groups; and organising regular Zoom, Teams, and face-to-face meetings for the Warwick team and the Digital Health and Rights Project.
* Assist in maintaining website content and executing social media and communications strategies developed by the consortium; track and maintain accurate records of project media exposure, as well as images and materials produced by the consortium.
* General project support
* Carry out general office duties such as printing, scanning, filing, answering calls, taking minutes for meetings, ordering stationery and computer consumables, booking rooms, making travel reservations, and ensuring adequate stocks for Project needs; and other general administrative duties as determined by the PI and project manager.
* Under the supervision of the PI, support other members of the research team with preparing papers for publication, and other research tasks as required.
* Events organisation and support
* Maintain calendars and schedule appointments for the Principal Investigator.
* Schedule and participate in ongoing coordination and outreach meetings across the consortium, taking minutes and tracking agreed action points and deliverables.
* Support event organisation, including complex activities such as workshops, webinars, and public events at Warwick and overseas, engaging with key stakeholders and potential future research collaborators within the United Nations and peer institutions.
* Manage and book all travel and hotel accommodation (UK and overseas) for senior members of the Warwick team, and prepare detailed travel itineraries, ensuring all costs are within budget for staff associated with the Project. To process travel claim forms, produce purchase requisitions, authorise sales and purchase invoices for DHRP research projects, ensuring compliance with University financial procedures.

Skills and experience

Essential

* Bachelor’s degree in related field or equivalent relevant professional experience
* Administrative experience in a research project administration in a University, NGO, or similar environment.
* Good personal organisation skills, including the ability to prioritise, to multitask, and to work under pressure to strict deadlines
* Ability to understand and learn procedures rapidly and then apply them accurately and appropriately with strong attention to detail
* Experience with social media and communications, and good oral and written English skills.
* Excellent communication skills and ability to work in a diverse multicultural environment with marginalised populations.
* Ability to work autonomously and with supervision where required

Desirable

* Competence in Spanish or Vietnamese.
* Proficiency in the use of Next Cloud and SAP Fiori may be an added advantage but not a compulsory requirement.

Location
Hybrid – combination of on-campus working at the University of Warwick and working from home.
