Role Overview
As a Legal Administrator within our Legal Enquiries & Consents Department, you will coordinate and process the legal aspects of leasehold property sales, assignments, and remortgages. You will ensure the smooth, compliant, and efficient handling of all documentation and enquiries related to property transfers across our managed portfolio.
The role also includes assisting with service charge arrears recovery and tracking subletting consents and licencing, supporting the company's compliance with lease terms and maintaining positive client relationships.
Key Responsibilities
* Act as the first point of contact for solicitors, leaseholders, buyers, and internal teams regarding property transfers and assignments.
* Process requests for standard leasehold information packs (LPE1 forms, FME1 forms, replies to enquiries) and flag them for the correct team members response.
* Review and flag solicitor enquiries for the correct team members on sale transactions.
* Liaise with accounts to confirm service charge and ground rent balances.
* Assist with service charge arrears recovery, including issuing reminders, liaising with leaseholders, monitoring payment plans, and preparing files for legal action if required.
* Track and manage subletting consents, ensuring all approvals are properly recorded within our bespoke systems, fees are collected, and compliance with lease terms is maintained.
* Check and ensure all necessary consents, documentation, and fees are received before completion of a sale or assignment.
* Maintain accurate records of all property transfer activity within our bespoke systems.
* Assist with drafting standard letters, legal notices, and documentation as required.
* Support lease compliance across the managed portfolio.
* Coordinate with managing agents, freeholders, leaseholders, and clients as needed.
* Help improve and maintain internal procedures for property transfer processing.
* Provide general administrative support to the legal and property management teams.
Essential Skills & Experience
* Prior experience in office administration.
* Ability to interpret and work with residential lease terms and conditions.
* Experience in or willingness to learn service charge arrears recovery processes.
* Strong organisational skills with high attention to detail is imperative.
* Excellent written and verbal communication skills.
* Proficient in Microsoft Office and CRM systems.
* Ability to work independently and manage multiple transactions and tasks simultaneously.
Desirable Skills & Experience
* Prior experience in property administration, legal administration, or conveyancing support is favourable but not necessarily required.
* Understanding of leasehold property transfers and block management processes is favourable but not necessarily required.
* Experience within block management or residential property management.
* Qualification in business administration, legal studies, or property management.
