Salary up to £30, 034 per annum plus £2,000 South East allowance (for those based at Culham or Bisley)

The Civil Nuclear Constabulary (CNC) is an armed police service, dedicated to the nuclear industry. We’re now looking for an efficient Personal Assistant to support senior employees.
The Executive Personal Assistant will provide high level and proactive support to one or two senior employees within the CNC, supporting them with work across all areas of their portfolio(s) both independently and as part of a wider team. You will be the first point of contact – investigating and dealing with queries and issues efficiently, and working directly with both internal and external stakeholders.
You’ll be managing incoming e-mails and other correspondence, managing diary commitments; taking decisions on allocation of appointments and meetings, and ensuring the relevant Executive / Senior Employee is well prepared for all meetings with supporting papers and actions addressed.
As an experienced PA, you’ll bring a proactive approach and sound administrative skills. You can take minutes, manage records, and use IT systems and software. Highly organised, you’ll plan and manage a varied workload. Motivation, proactivity and flexibility will play a big part in meeting challenging deadlines. Excellent communication skills are also important, as you’ll be a central member of the team. If you can deal with senior figures and work independently, we’d like to hear from you.

Some of the responsibilities of this role include:
12. Provide comprehensive, proactive and self-motivated PA support to one or two of the CNC’s most senior employees, performing complex and confidential support activities, in what can be a pressured environment.
13. Act as a first point of contact. Investigating and dealing with queries and issues efficiently, providing an effective customer service to both internal and external stakeholders.
14. Manage incoming e-mails and other correspondence, ensuring appropriate action is taken, including deletion and delegation where applicable, within required timescales and tracking activity to ensure completion.
15. Effectively manage diary commitments, taking decisions on allocation of appointments and meetings and ensuring the relevant Executive / Senior Employee r is well prepared for all meetings with supporting papers and actions addressed.
16. Effectively communicate with a variety of internal and external stakeholders at the highest levels. Government Departments, Home Office and Scottish Police Forces, ONR, Site Licensed Companies, Senior Managers, CNPA Board and colleagues at other locations via telephone, email and face to face.
17. Plan and administer strategic and tactical level meetings. This includes compiling and amending reports, circulating all documents to meeting attendees, taking accurate, professional minutes/notes during complex meetings, arranging visitor passes / other requirements and ensuring all actions are completed, escalating if appropriate.
18. Assist in the co-ordination and organising of conferences, events and seminars. Ensure associated spreadsheets are maintained/ monitored and organise their workload to meet deadlines as required.
19. Proactively arrange travel, accommodation, conferences, visitor passes and, where required, visas / permission to take IT abroad, based on diary commitments.
20. The postholder may be required to undertake ad-hoc travel to CNC sites/Units to support resilience within the Executive Support Office and attend work at short notice / outside of normal hours in support of a critical incident

To be successful in the role you will need to display the following experience and skills:
21. Previous PA/Secretarial experience.
22. Excellent organisational, planning and time management skills.
23. Excellent communication and interpersonal skills, both verbal and written, able to communicate at all levels.
24. Strong ability to use initiative and provide solutions to ad hoc problems with minimum supervision.
25. Proactive, self motivated and flexible with the ability to work both independently and as part of a team.
26. Ability to work to deadlines in a pressurised environment, multitasking and prioritising as necessary.
27. An understanding and experience of minute taking is required.
28. Sound working knowledge of Microsoft software with the ability to learn new IT systems and packages.
29. Experience of using information management systems as well as improving and developing systems.

31. Previous knowledge / experience of the portfolio of the senior manager(s) they are supporting is highly desirable but not essential
