The role
We are recruiting a Post Graduate Relationships Coordinator for the AD[A]PT (Architectural Design and Humanities Promoting Transformation) Consortium. Based at our Headington campus and reporting to the AD[A]PT Project Lead (Dr Emma Rowden), the PGR Relationships Coordinator is to support the work of the AD[A]PT team in the delivery and smooth running of the award and its integration with wider post-graduate activities within the Schools.
This is a part time 0.6 FTE post, fixed term until July 2029.
About the team
The AD[A]PT Consortium is a newly-awarded AHRC funded Doctoral Focal Award in partnership with two universities (Cardiff University and Falmouth University) and 13 industry partners. Oxford Brookes University is the lead university. Alongside the Project Lead, the Project Co-Lead, a Shadow Project Co-Lead, and a Grant Manager are based at Oxford Brookes. The project also benefits from a wider Delivery Team that includes Institutional Leads and Co-Leads from our partner universities, as well as a Supervisory Lead and Co-Lead (based at Falmouth University) and an EDI Lead (based at Cardiff University). The AD[A]PT doctoral award is held by the Oxford Brookes’ Schools of Architecture and the Built Environment. The aim of the award is to create more opportunities for arts and humanities research focussed on helping built environment professionals achieve healthier places via the provision of funded doctoral research opportunities. What will I be doing?
The post holder will carry out a range of tasks to support the Postgraduate Research Tutors in the relevant Schools as well as the broader AD[A]PT Delivery Team. Tasks will include:
* Provide comprehensive professional administrative support to the PGRTs in Architecture and the Built Environment and the AD[A]PT Consortium’s cross-institutional teams. This includes budgeting, accounting, and running reports; organising travel within the UK, in conjunction with risk-assessment protocols; and internal institutional reporting and preparation of financial information required
* Establish and refine administrative processes and procedures linked to the AD[A]PT Consortium. This includes using University systems (e.g. Student Record Systems, Moodle, shared drives) to store and maintain information relevant to the AD[A]PT award, ensuring access is managed and restricted to the correct group of stakeholders, ensuring compliance with quality assurance processes, and making sure that data is maintained, filed and archived appropriately, observing the University data retention policy and GDPR rules
* Liaise with all AD[A]PT partners, including 2 other universities, and 13 industry partners, to ensure information relating to the award is shared in a timely manner, and assist with organising meetings of the consortium Delivery Team and Management Group as required, as well as AGMs with the Steering Group - including minute taking, and preparing reports, collating, formatting and presenting data
* Assist with recruitment activities, including responding to enquiries, organising and coordinating PhD applicant interviews for the Oxford Brookes studentships, and assistance with coordinating studentship application processes and relevant data sharing across the consortium
* Assist in organising and co-ordinating the School’s PGR student related activities and events, such as conferences, exhibitions, and workshops, and similar consortium events
* Support the collation and organisation of publications/reports required by sponsoring bodies
* Responsibility for communication and media strategies including maintaining a website and ensuring effective use of social media
* The post-holder will also help with future PGR grant funding applications
What skills do I need?
We are looking for someone with:
* Project management skills
* Significant previous administrative experience in an office environment
* Experience of managing social media and website content
* The ability to maintain confidentiality with respect to private/personal/sensitive information
* Close attention to detail and able to ensure that documentation and administrative arrangements are precise and documentation consistent
* The ability to work effectively on own initiative, and to work collaboratively to achieve team goals
* Strong written and oral communication skills
* Strong interpersonal skills
* Excellent organisational and time management skills
* Demonstrable IT skills and ability to use software packages appropriate to an office environment
* Minimum of five GCSEs at Grade C or above (or equivalent), including Mathematics and English
The following skills are desirable:
* Experience of working in a Higher Education environment
* Experience of successfully working to strict deadlines
* High level of proficiency with database software and accounting software
* Demonstrable numeracy and data analysis skills
* Able to draft concise notes and minutes based on complex discussions
* Willingness to work flexibly including occasional evenings and weekends as required
* An awareness of data protection legislation
About the location
Based at our, you’ll experience the vibrant campus atmosphere and benefit from our modern office environment. The campus is one mile from the centre of Oxford and is served by regular public transport. This role will be hybrid. Exact working patterns will be discussed with the successful candidate but we expect 1 day a week will be on campus. Attendance at some Consortium events is compulsory, and these will be communicated with sufficient notice. Occasional evening and weekend work may be required.
