Responsibilities
Work with the Medical Workforce Manager to lead the introduction of new automated processes in line with systems and service developments. Support the Medical Workforce Manager & Medical Workforce Lead Advisor for Recruitment in proactively working with Trust managers to ensure a pro-active recruitment service is provided at all times, providing specialist advice and guidance on recruitment processes within the Trust.
1. Monitor and manage the performance of the Medical Workforce Officers to ensure a quality end-to-end recruitment administration service is delivered in line with Trust standards. The post holder will be responsible for ensuring the effective prioritisation and completion of work within the team in accordance with recruitment demands.
2. Authorise contracts of employment where required and conduct regular audits of recruitment activities to ensure quality standards are maintained and compliance with employment legislation and best practice guidance (e.g. NHS Employers Pre-Employment Checks).
3. Develop, test, and maintain HR Automation practices and Power Platform applications, using your growing technical expertise to improve efficiency, reduce manual effort, and enhance the Trust's digital capabilities.
4. Be a confident and capable user of Microsoft packages to produce relevant reports and support Automated flows & Dashboards.
5. Act as specialist advisor for right to work queries and checking processes for all medical recruitment, leading the administration of certificates of sponsorship and overseeing the process of ongoing right to work checks on existing employees.
6. Ensure the maintenance of Electronic Staff Records (ESR) and Trac systems with all information connected to recruitment processes and work with the Medical Workforce Programme Manager to lead the introduction of new processes in line with systems and service developments.
7. Support the Medical Workforce Programme Manager in proactively working with Trust managers to ensure a pro-active recruitment service is provided at all times, providing specialist advice and guidance on recruitment processes within the Trust.
8. Manage an active establishment for the identification of Non-training grade and SAS posts including any rotational arrangements.
9. Manage and encourage proactive recruitment by effective planning of a robust recruitment programme for regular rotational placements, and ensure there is consultant engagement throughout the process.
10. Act as the escalation contact for the investigation and resolution of queries and complaints received from recruiting managers and applicants, ensuring the development and implementation of actions to prevent any reoccurrence.
11. Actively collate, present and analyse data on recruitment activity and identify areas for improvement and present findings to Medical Workforce Programme Manager.
12. Undertake any project work as directed, e.g. obtaining information from various sources, collation and reporting of data, assisting in the production of reports and other documents.
13. Line manage the Medical Workforce Officers including completion of appraisals, monitoring of sickness absence and coordination of annual leave.
14. Deputise for the Medical Workforce Manager, during times of annual leave or long-term sickness absence.
15. Provide general assistance in the Medical Workforce Department, particularly in the absence of other staff, to ensure the smooth running of the department at all times.
16. Maintain an up-to-date knowledge of recruitment related law.
17. Any other duties deemed to be within the capability of the role.
