Office Manager Location: Guiseley (Hybrid) Employment Type: Full-time, Permanent Salary: £31,000 - £36,000 Brooks Ecological is an ecology-led consultancy with a diverse portfolio of projects, ranging from large-scale habitat restoration and management schemes to strategic urban extensions and smaller private initiatives. Role Overview As Office Manager, you will play a pivotal role in ensuring the smooth day-to-day operations of our consultancy. You will be responsible for managing administrative functions, supporting project delivery, and fostering a positive and efficient working environment. This role requires excellent organisational skills, a proactive mindset, and a passion for supporting teams that make a difference in the natural world. About You We are looking for an experienced Office Manager with: Proven experience in office management or administrative roles. Strong organisational and multi-tasking abilities. Excellent written and verbal communication skills. Proficiency in Microsoft Office and cloud-based systems (e.g., SharePoint, Teams). Ability to work independently and as part of a team. Desirable skills include: Experience in an environmental or consultancy setting. Familiarity with project management tools. Interest in ecology, conservation, or sustainability. Key Responsibilities Include: Office Administration Oversee general office operations, including supplies, equipment, and facilities. Maintain filing systems (digital and physical) and ensure data confidentiality. Manage incoming communications and correspondence. Team Support Coordinate meetings, travel arrangements, and schedules. Support HR functions such as onboarding, training coordination, and record-keeping. Assist with timesheets, expense tracking, and payroll. Line management of Administrative Assistants and other members of the support team. Finance & Procurement Credit control - Liaise with finance teams to process invoices and purchase orders, follow up with clients regarding payments. Monitor budgets for office-related expenses. Health, Safety & Compliance Ensure compliance with health and safety regulations. Maintain risk assessments and emergency procedures. Project Coordination Support project teams with administrative tasks, document formatting, and client communications. Help track project timelines and deliverables. Location This role is based at Brooks Ecological Ltd, Unit A, 1 Station Road, Guiseley, Leeds, LS20 8BX. While access to a car is desirable, we encourage cycling to work and are well-connected to local train and public transport services. The ability to collaborate effectively in person and remotely using Teams is essential.
