We’re seeking an experienced and motivated Secretarial Administrator to join our CLAO Inverness office and play a key role in helping us deliver client-centred and trauma-informed legal services, ensuring our offices run smoothly and our clients receive the highest standard of support.
You’ll provide efficient, high-quality legal administrative and casework support to solicitors and heads of office across the CLAO network
Key responsibilities include:
1. Audio and copy typing, drafting legal and other documents
2. Maintaining and updating case files within the case management system
3. Assisting solicitors with administrative and case-related tasks
4. Managing reception duties, including dealing with client and contact enquiries
5. Administering incoming and outgoing mail through various communication methods
6. Processing case documents, including downloading, photocopying and scanning
7. Diary management and coordination
8. Processing invoices and requisitioning goods or services through internal systems
9. Using and monitoring Legal Aid Online (LAOL)
10. Supporting the Network & Systems Coordinator with delegated tasks
11. Supporting training and work planning for new business support colleagues
12. Other general office and administrative tasks, as required.
To succeed in this role you will need:
13. Speed and accuracy in typing
14. Excellent oral and written communication skills
15. Competency in IT, including Microsoft applications
16. High level of accuracy and attention to detail
17. Ability to work independently and seek guidance appropriately
18. Excellent time management and organisational skills
19. Excellent customer service skills
20. Sound understanding of confidentiality and data protection
21. Previous experience working in a legal environment (highly desirable).
