We are currently offering a great opportunity to recruit a hard working, friendly, motivated and enthusiastic person who is able to work using their own initiative to join our dedicated professional team as a Medical Receptionist to cover maternity leave. This role will be for a 9 month period and may have the option to extend to 12 months.

Applicants must have excellent communication skills with good IT skills and be able to work under pressure as you will become a member of our Reception team offering an essential service to our 18,000+ patients. In return, we are offering a very competitive salary. This role will involve you meeting and greeting patients, answering telephone queries and booking appointments.

We are able to offer a 36hr per week opportunity for you to become a member of our fantastic team!


Main duties of the job

To provide a high standard of clerical service to our patients and other outside agencies.

Answering Telephone calls

Meeting and greeting patients

Prescription Requests

Booking appointments via telephone and using our online platform

Managing surgery emails - actioning them and distributing them.

Actioning tasks from within our teams

Job responsibilities

JOB TITLE: RECEPTIONIST

ACCOUNTABLE TO: GP Partners

Job Summary:

Receive, assist anddirect patients in accessing the appropriate service or healthcare professionalin a courteous, efficient and effective way.

Provide general assistance to the practiceteam and project a positive and friendly image to patients and other visitors,either in person or via the telephone

Job Responsibilities:

* Ensure an effective and efficientreception service is provided to patients and any other visitors to thepractice
* Deal with all general enquiries andexplain practice procedures.
* Respond to all queries and requests forassistance from patients and other visitors.
* Ensure that patients who need urgent appointmentsare seen on the same day.
* Monitor the flow of patients into theconsulting rooms. Keep patients informed at all times if any doctor/nurseetc is running late.
* Explain practice arrangements and formalrequirements to new patients and those seeking temporary cover and ensureprocedures are completed.
* Receive and make telephone calls asrequired. Divert calls and takemessages, ensuring accuracy of detail and prompt appropriate delivery.
* Enter requests for home visits onto thecomputer system, ensuring careful recording of all relevant details andwhere necessary refer to Duty Doctor.
* Action repeat prescription requests(manual, email and computerised) and ensure that they are ready forcollection by the patient within the stated time. Check the prescriptionbox and email for repeat requests.
* Advice patients of relevant charges forprivate (non General Medical Services) services, accept payment and issuereceipts for same.
* Ensure reception and waiting areas arekept neat and tidy.
* Opening and sorting internal andexternal mail.

Appointmentsystem

* Ensure familiarity with the appointmentsystem.
* Book appointments
* Monitor effectiveness of the appointmentsystem and ensure that action is taken to resolve any problems by liaisingwith the Reception Supervisor.

Computer

* Ensure that all new patients areregistered onto the computer system promptly and accurately
* Ensure that all temporary residents,emergency and immediately necessary patients are entered onto thecomputer.

TelephoneSystem

* Ensure the system is operational at thebeginning of each day and switched to the messaging service at the end ofeach working day.
* Receive and make calls as required.Divert calls to secretaries as appropriate

Consultingrooms

* Ensure that all consulting rooms areprepared in readiness for each consulting session, checking full range offorms and requirements and restocking as required.
* Ensure that the consulting rooms arechecked at the end of each consulting session and left tidy and secure.

Photocopying/ printing / scanning

* Photocopy documents etc that arerequired by the surgery
* Print forms etc from the word processor
* Participate in scanning as required

Startand end of day procedures

* Open up premises at thestart of the day when first to arrive, de-activate alarm and make allnecessary preparations to receive patients.
* When last to leave atthe end of the day, ensure that the building is totally secured, internallights are off and the alarm activated

Anyother duties

* You will be called upon to cover yourcolleagues in reception at times of sickness and holidays.

* In the performance of the dutiesoutlined in this Job Description, the post-holder may have access toconfidential information relating to patients and their carers, practicestaff and other healthcare workers.They may also have access to information relating to the practice asa business organisation. All such information from any source is tobe regarded as strictly confidential
* Information relating topatients, carers, colleagues, other healthcare workers or the business ofthe practice may only be divulged to authorised persons in accordance withthe practice policies and procedures relating to confidentiality and theprotection of personal and sensitive data.

Thepost-holder will assist in promoting and maintaining their own and othershealth, safety and security as defined in the practice Health & SafetyPolicy, to include:

* Using personal security systems withinthe workplace according to practice guidelines
* Identifying the risks involved in workactivities and undertaking such activities in a way that manages thoserisks
* Making effective use of training toupdate knowledge and skills
* Using appropriate infection controlprocedures, maintaining work areas in a tidy and safe way and free fromhazards

Hoursof duty

* Normal hours of duty are as stated inyour contract. These hours may be reviewed from time to time by mutualagreement

Holidays

* Yours holiday entitlement is 20 days prorata per year, excluding Bank Holidays
* Before booking any holidays your leaveshould be requested and confirmed with the Reception Supervisor.


Person Specification


Qualifications

* GCSE-Grade C or above in Maths and English


Experience

* Experience of working in a customer focused role
* Experience of working in a GP practice
* Experience of working with EMIS Web
