About the role
The Administrative Officer is a central point of contact within the organisation and plays a crucial role in supporting staff, systems and services. This is a varied and hands‑on role, combining general administration, coordination, events support, data management and health and safety responsibilities.
You will be highly organised, proactive and comfortable working in a busy environment where confidentiality, compassion and attention to detail are essential.
Key responsibilities
1. Provide comprehensive administrative support to the Executive Director and senior staff
2. Manage correspondence, filing systems and document preparation
3. Coordinate diaries, meetings, travel and room bookings
4. Prepare agendas, take minutes and follow up on actions
5. Support the planning and delivery of internal and external events, including training and community events
6. Maintain accurate databases, records and reports in line with UK GDPR
7. Support health and safety processes, including risk assessments and record‑keeping
8. Act as a welcoming point of contact for visitors, stakeholders and partner organisations
9. Provide cover for reception when required and support wider operational needs
About you
You will bring:
10. Experience in a similar administrative role, ideally within the charity or voluntary sector
11. Excellent written and verbal communication skills
12. Strong organisational and time‑management skills with the ability to juggle competing priorities
13. High attention to detail and accuracy
14. Confidence handling sensitive and confidential information
15. Experience supporting events, meetings or training delivery
16. A proactive, ‘can‑do’ approach and the ability to work independently
Desirable experience includes:
17. Supporting vulnerable people or working in safeguarding‑led environments
18. Experience with CRMs or document management systems
19. Health & safety or first aid knowledge (or willingness to train)
