The Cardiology department at Bedford Hospital is seeking to recruit a Band 3 Administrator to support our existing cardiology admin team. We are a supportive, dynamic, and friendly team, which is continuously expanding and developing our services.

Our administrative team plays a vital role in delivering cardiology services, undertaking a range of administrative duties.

As part of the Cardiology team and in conjunction with cardiology consultants, cardiac technicians, medical secretaries, and key administrative staff, the Diagnostic Administrator will primarily be responsible for booking cardiac diagnostic tests for the Community Diagnostic Centre (CDC) and assisting in booking tests for outpatients at Bedford Hospital.

The post holder will assist in managing the diagnostic waiting lists in Cardiology, in accordance with national targets and trust access targets.

Administrative duties include adding waiting list entries, managing waiting lists, booking clinics via telephone, and corresponding regarding appointments via letter, among other admin duties. The service users come from diverse cultural backgrounds; therefore, effective communication skills are essential.

The role involves handling telephone calls and emails promptly and politely, assessing required actions, and either taking appropriate steps or passing queries to relevant colleagues in a timely manner.

Deal with patient queries sensitively and discreetly, using empathy and providing reassurance, while always maintaining patient confidentiality. Basic knowledge of non-invasive diagnostics should be employed to offer advice when appropriate.

Responsibilities also include adding diagnostic test requests to waiting lists with accurate data entry, proactively overseeing waiting times for all non-invasive cardiology diagnostics, and understanding clinic templates and booking limitations to optimize clinic utilization and prevent breaches (including DM01 where applicable).

Ensure all referrals are added to the appropriate waiting list promptly, managing the lists daily with regular validation and comments. Provide demand and capacity reports to the Principal and Lead Cardiac Physiologists.

Schedule all appointments using iPM, ensuring timely sending of appointment letters and relevant patient information leaflets. For urgent or short-notice appointments, make direct phone calls.
