BAM FM are recruiting an FM Helpdesk/Reception Assistant, based out of Dalkeith Schools Community Campus, working 37.5 hours per week Monday- Friday.
Making Possible
The FM Helpdesk/Reception Assistant is responsible for providing reception duties, greeting visitors to site and being the interface with the general public and building users at Dalkeith Schools Community Campus. You will provide excellent customer service and professional service to all customers either face to face, by telephone or via email.
You will be required to assist the leisure department by taking bookings from the public and operating the point of sale machine and till for any payment. You will carry out helpdesk duties, recording any actions using the agreed procedures and notifying FM Management where required.
Principle Accountabilities:
• Being the initial point of call for all reception and helpdesk communications.
• Promote customer care and maintain excellent levels of customer service within the campus.
• Assessing and prioritising helpdesk calls in accordance with contractual requirements.
• Issuing tasks to site based operatives as required, ensuring all works are completed and signed off in a timely manner.
• Carry out contractor site inductions and assist with issuing work permits to contractors.
• Collection and processing of incoming cash or card payments from general public.
• Ensuring the completion of tasks, either caller or PPM generated within the agreed contractual timeframes.
• Ensuring work streams are commenced and processed to avoid contractual financial deductions.
• Liaison with management and operatives in the fulfilment of helpdesk tasks.
• Liaison with contractors, booking in site visits, chasing service reports or quotes.
• Raising purchase orders and goods receipting orders as and when they are received/delivered.
• The preparation of reports on project performance on a weekly and monthly basis.
• Taking and recording room bookings and liaising with the appropriate FM based team to ensure bookings are completed.
• Collation and preparation of information to allow third party invoicing.
• Maintaining security by following procedures; monitoring signing in book; issuing visitor passes.
• Maintaining telecommunication system by following manufacturer's instructions for house phone and console operation.
• Deal with enquiries and resolve issues relating to the access control or CCTV system.
• Maintain a safe and clean reception area by complying with procedures, rules and regulations.
• Carry out other duties that may be reasonably requested from time to time by BAM FM and client management.

Working out of Dalkeith Schools Community Campus in Dalkeith. You will be working 37.5 hours per week Monday -Friday

• Protection of Vulnerable Groups (Scotland) Act 2007 (PVG) in relation to this type of work is applicable for children.
• Ability to understand and work to the BAM values.
