Job Overview

The post holder will join a multi-disciplinary team to provide efficient and high quality administrative and clerical support to clinicians, managers and their teams. The post holder will work in close cooperation and liaise effectively with patients and all staff groups from both primary and secondary care.

The Ageing Well project aims to promote healthier ageing, address inequalities through population health management, and make better use of community and health services to result in better outcomes for older adults.T his will involve liaison with community and care home services across BNSSG.

Detailed Job Description And Main Responsibilities

Main duties and responsibilities


* Act as a contact point, liaising with patients, medical and nursing staff within and outside of the Trust, including with GP surgeries and care homes
* Dealing with queries competently and professionally, taking action as appropriate following the Trust’s Data Protection Guidelines
* Develop an effective working relationship within the team and with the clinical and clerical staff throughout the Division and the Trust, to aid effective communication
* Plan and organise workloads relating to the day to day running of the Ageing Well project, coordinating and overseeing administrative processes including: diary management, arranging meetings, monitoring inboxes and allocating tasks as necessary
* Provide administrative support for the PD Hub by tracking patients through the 4 week appointment process
* Attendance at MDT meetings to take notes and liaison with MDT members to review actions following meetings, providing administrative support with these where possible, such as booking therapy rooms for patient reviews
* Organise meetings, including the booking of rooms, for the clinicians and their teams as requested
* Utilise project planning tools like Gantt charts to update progress of tasks against project timelines
* Provide support with getting EMIS access set up via GP surgeries
* Use hospital IT systems to set up and book clinic appointments and patient letters
* Prioritise sometimes conflicting directorate requirements, independently of or with consultants and other secretarial support to meet deadlines
* To provide cover and general office duties as and when required within the department.
* To promote excellence in patient care, providing support and guidance where necessary to ensure good communication, inline with Trust values
* To propose changes to working practice to improve service delivery and implement where agreed
* To show a willingness to deputise for senior colleagues as required
* Such other reasonable duties, appropriate to a Band 4, as agreed between the post holder and manager from time to time

Person specification

Education/Training/Qualifications

Essential criteria

* Good general education including GSCE in Maths or English (or equivalent)
* Advanced computer skills (Microsoft office)

Desirable criteria

* Patient Administration System (PAS) training

Work Experience

Essential criteria

* Previous administrative experience
* Experience of working under pressure
* Experience of working as part of a team in a multi-disciplinary environment.

Desirable criteria

* Experience of working in the NHS or similar organisation

Knowledge/Skills/Abilities

Essential criteria

* Excellent written/verbal communication skills
* Ability to work using own initiative with excellent organisational skills and meticulous attention to detail
* The ability to prioritise own workload and work to tight deadlines
* Ability to exercise judgement and take responsibility for actions

Personal Qualities/Special Circumstances

Essential criteria

* Confident and sympathetic when dealing with patients/staff
* Ability to be calm and professional when working under pressure
