We are seeking a friendly, organised, and compassionate individual to join our team as a GP Receptionist. As the first point of contact for our patients, you will play a vital role in creating a welcoming and supportive environment while ensuring the smooth day-to-day running of the practice.

This is a busy and rewarding role that requires excellent communication skills, empathy, and the ability to remain calm under pressure. You will be responsible for managing appointments, handling patient enquiries both face-to-face and over the telephone, and supporting the administrative functions of the practice.

The successful candidate will demonstrate professionalism, discretion, and a strong commitment to patient confidentiality, while working collaboratively with GPs, nurses, and the wider practice team to deliver high-quality patient care.


Main duties of the job

Greet patients and visitors in a professional, courteous, and empathetic manner.

Answer incoming telephone calls promptly, dealing with enquiries efficiently and directing calls to the appropriate clinician or department.

Book, amend, and cancel appointments in accordance with practice protocols and appointment systems.

Register new patients and update patient information accurately on the clinical system.

Process repeat prescription requests in line with practice procedures.

Receive, record, and distribute incoming mail and electronic correspondence.

Scan, file, and maintain accurate patient records.

Signpost patients to appropriate services, including NHS 111, pharmacies, or other healthcare providers where suitable.

Maintain strict patient confidentiality at all times in accordance with GDPR and practice policies.

Support clinicians and the wider practice team with administrative tasks as required.

Assist in maintaining a clean, safe, and welcoming reception area.

Provide cover for colleagues during periods of absence and support the wider team as needed.


About us

We are a growing practice serving over 10,000 patients, supported by a forward-thinking and dedicated clinical team. Our team includes five GPs, a Nurse Prescriber, three Practice Nurses (two with specialist expertise in diabetes care), two Healthcare Assistants, a Paramedic, and a Physician Associate.

As a training practice, we regularly host GP Registrars, contributing to the development of future doctors while maintaining high standards of patient care. Our clinical team is complemented by a fantastic and hardworking group of receptionists and administrators who play a vital role in ensuring the smooth and efficient running of the practice.


Job description

To provide a professional, efficient, and welcoming reception service to patients and visitors of the practice. The Receptionist is the first point of contact for patients and plays a key role in supporting the smooth day-to-day running of the practice, ensuring high standards of customer service, confidentiality, and administrative support.

Key ResponsibilitiesReception & Patient Services
* Greet patients and visitors in a courteous, professional, and helpful manner.

* Respond to telephone calls promptly, handling enquiries efficiently and directing calls appropriately.

* Book, amend, and cancel patient appointments in line with practice protocols.

* Register new patients and update patient records accurately.

* Process repeat prescription requests in accordance with practice procedures.

* Signpost patients to appropriate services where necessary.

Administrative Duties
* Maintain accurate patient records and ensure information is recorded correctly on the clinical system.

* Scan, file, and manage incoming and outgoing correspondence.

* Handle incoming and outgoing mail.

* Support clinicians and management with administrative tasks as required.

Confidentiality & Compliance
* Maintain strict patient confidentiality at all times in accordance with GDPR and NHS guidelines.

* Follow practice policies, procedures, and health and safety requirements.

* Report any safeguarding or significant concerns to the appropriate person.

Teamwork & Communication
* Work collaboratively with GPs, nurses, and administrative staff.

* Contribute to team meetings and training sessions.

* Provide cover for colleagues during periods of absence.


Person Specification


Experience

* revious experience in a receptionist, administrative, or customer service role.
* Excellent communication skills, both verbal and written, with the ability to communicate clearly and sensitively with patients and colleagues.
* Ability to handle a high volume of telephone calls and face-to-face enquiries in a calm and professional manner.
* Strong organisational skills with the ability to prioritise workload in a busy healthcare environment.
* Good IT skills, including experience using email, Microsoft Office, and clinical or appointment booking systems.
* Understanding of the importance of patient confidentiality and data protection (GDPR).
* Ability to deal with sensitive situations with empathy, discretion, and professionalism.
* Reliable, punctual, and able to work flexibly to meet the needs of the practice.
* Ability to work effectively both independently and as part of a multidisciplinary team.
* Good attention to detail and accuracy when recording patient information.
* Experience working in a GP practice or healthcare setting.
* Knowledge of clinical systems such as EMIS.
* Understanding of NHS services and primary care.
