Location: SERC Downpatrick Hours of Work: Monday - Friday, 37.5 hrs Job Type: Fixed-Term Contract (9 months)

The Administrator shall be responsible for:

1. Logging calls / jobs on the helpdesk database utilising helpdesk software (IFS). Calls / jobs may be received by telephone, email or in person.
2. Proactive call handling to ensure all orders are attended/ completed in accordance with strict contract KPIs
3. Reporting back to clients and operational teams on works progress and completion.
4. Being first point of contact for client queries/ complaints
5. Preparing and submitting early warning notices for financial uplift requests
6. Processing of client variation orders
7. Operating a paper-based systems as necessary to compliment the operating software including back-up systems.
8. Checking engineers’ timesheets against worksheets, and processing weekly labour costings
9. Raising purchase orders for engineers/ sub-contractors
10. Running daily/ weekly reports to ensure data accuracy/ provide information for client/ GAM management team
11. General administration duties as and when required.
12. Any other duties required to ensure an effective and efficient helpdesk service is delivered in accordance with
13. GRAHAM ISO management systems and Quality Control procedures.

About You

Essential Criteria

14. GCSE English and Maths Grade C or equivalent
15. Demonstrate relevant experience in an administration or office environment.
16. Strong IT skills including Microsoft Office

Desirable

17. Demonstrate a minimum of 1 years’ experience in similar helpdesk
18. Experience of facilities management or a related service industry
19. Experience in IFS software or similar system
