We are seeking a dedicated and professional Part-Time GP Receptionist/Administrator to join our friendly team at Stepps Surgery. This role is vital in ensuring the smooth running of our practice and delivering high-quality, patient-centred care in line with NHS Scotland standards.
As a GP Receptionist/Administrator, you will be the first point of contact for our patients. You will provide a professional and welcoming service at all times, while supporting the clinical team with a wide range of administrative and reception duties.
Key Responsibilities include:
Welcoming and routing patients attending the surgery in a courteous and professional manner
Dealing and processing of incoming mail
Handling telephone and face-to-face enquiries, booking and cancelling appointments.
Processing repeat prescription requests by telephone and online email
Updating and maintaining accurate patient records on EMIS in line with practice protocols and GDPR
Managing recall systems for chronic disease reviews, medication monitoring, and blood test reminders
Scanning, workflow processing, and filing incoming correspondence
Assisting with referrals, laboratory forms, and clinical documentation, ensuring completeness and accuracy
Managing patient transport requests and recording home visit requests for GP review
Taking payments for private services (e.g., reports and letters) and issuing receipts
Supporting quality improvement through recall lists, audits, and QOF data
Ensuring the reception area and waiting room are maintained to a high standard
Always maintaining strict confidentiality regarding patient information
1. Excellent organisational and administrative skills - Desirable on the use of Microsoft Systems(Teams, Outlook)
2. Strong attention to detail and accuracy
3. Ability to remain calm and professional under pressure in a busy practice
4. Confident use of IT systems Digital Telecomms (experience with EMIS & Docaman systems desirable but training will be provided)
5. Strong communication skills with a professional and empathetic approach to patients
6. Ability to work effectively both independently and within a team
