Overview

You will act as a member of the Investigations Directorate, providing a full administrative support service to Investigation Managers, Investigation Team Leaders and Investigators in their dedicated office, while also providing administrative support nationally as required. You will be responsible for the document management function of updating and maintaining the case management system in independent investigations. The postholder will maintain local and national spreadsheets as directed. They will draft correspondence, monitor witness appeal mailboxes and maintain performance management records. Acting as a first point of contact to callers for Investigations when appropriate, you will liaise with outside agencies and aggrieved parties by telephone, e‑mail or post and ensure they are dealt with promptly, efficiently and courteously.


Responsibilities

* Maintain case management systems and keep case files up to date in accordance with guidelines.
* Update and maintain local and national spreadsheets as directed.
* Draft correspondence and prepare evidential documentation for court files as required.
* Monitor witness appeal mailboxes and liaise with outside agencies, aggrieved parties and other parties by telephone, e‑mail or post.
* Act as first point of contact for Investigations when appropriate and ensure enquiries are dealt with promptly, efficiently and courteously.
* Assist with arranging meetings and events, including booking video conference facilities and equipment.
* Book travel arrangements for Investigations staff and arrange fleet vehicle support as needed.
* Assist with the management of procurement processes, including raising purchase orders and liaising with budget holders for invoice reconciliation.
* Attend initial meetings at the commencement of new investigations and briefings on complex cases; contribute to HOLMES system use where applicable.
* Prepare case files for Court, Inquests and Disciplinary Hearings, including forwarding CPS/Court requests for information and disclosing evidence to interested parties as directed.
* Archive investigation material and ensure material and exhibits are properly catalogued.
* Issue witness warnings as directed and deal with enquiries from members of the public, police officers and external agencies when investigators are unavailable.


Assessment and Behaviours

During the application stage we will assess you against your administrative experience and the following behaviours at Administrative Officer (AO) level:

* Working Together – ensure the Operations directorate receives support in relation to the management of all investigations by maintaining tasks on databases/case management systems
* In conjunction with the Lead Investigator, ensure that all ISU functions for Independent and Managed cases are completed within statutory timeframes in accordance with the IOPC’s legislative requirements
* Ensure case files are kept up to date in accordance with guidelines
* Act as a team member while using initiative
* Build files for Court, Inquests and Disciplinary Hearings; forward CPS/Court requests for information; deal with case queries; disclose evidence to interested parties as directed
* Prepare evidential documentation relating to court files for submission to the Crown Prosecution Service within required standards and on direction of the Lead Investigator
* Archive investigation material and ensure cataloguing of material and exhibits
* Contribute to team tasks and maintain a proactive approach to workload management
* Proficiency in IT, including Microsoft Word and Excel
