Job Title: Virtual Ophthalmic Receptionist
Position Summary
We are seeking a reliable and detail-oriented Virtual Ophthalmic Receptionist to support our medical office through phone-based and administrative tasks. This role plays a critical part in patient communication, appointment coordination, insurance processing, and clinical support workflows. The ideal candidate is organized, proactive, and comfortable working independently in a remote healthcare environment while delivering excellent patient service.
Key Responsibilities
•Answer incoming patient calls in a courteous, professional manner
•Schedule, reschedule, cancel, and confirm patient appointments accurately
•Verify patient insurance information and document details correctly
•Take clear, complete patient messages and route them to the appropriate medical staff
•Manage the fax system, including receiving, reviewing, and taking the appropriate measures to complete any tasks necessary
•Send patient notifications related to appointments, referrals, authorizations, and follow-ups
•Maintain accurate and up-to-date patient records within the electronic medical record (EMR/EHR) system
•Follow all established office procedures and ensure strict HIPAA compliance
•Communicate effectively with clinical and administrative team members to support patient care
Qualifications
•Previous experience in a medical office or ophthalmology setting preferred
•Strong verbal communication and customer service skills
•Excellent attention to detail and organizational abilities
•Ability to multitask and manage a high volume of calls and administrative tasks
•Comfortable working independently in a virtual/remote environment
•Basic computer proficiency; experience with scheduling software and EHR systems preferred
•Reliable internet connection and a private, HIPAA-compliant workspace
