We are a GP Practice based in Turriff, Aberdeenshire looking for a suitable candidate interested in a career in Business and Administration to join our friendly team. This opportunity will allow the recruit to develop their skills and knowledge in customer care, administration, team working, IT and communication.\n\nThe successful candidate will provide high quality, professional reception and administrative service to patients, and clinicians. As part of a reception team they will act as first point of contact for patients undertaking a wide range of tasks across all areas of general practice administration covering our reception, prescriptions, appointments, results and secretary desks. \n\nThe successful candidate will be enrolled on to a Business and Administration Level 6 Modern Apprenticeship.\n\nMain Duties and Responsibilities\n\nCore Responsibilities\n\nDuties include but are not limited to: \n\nTelephone Call Handling\nâ¢\tHandle calls with compassion and understanding\nâ¢\tBook / amend / cancel appointments in line with practice protocols\nâ¢\tSignpost callers to external agencies as appropriate\nâ¢\tResolve enquiries from callers in line with practice protocols and external service availability\nâ¢\tProvide patients with test results based on clinicians responses and follow-up requirements\nReception Duties\nâ¢\tWelcome patients and visitors to the practice in a professional, courteous manner\nâ¢\tManage patient registration process\nâ¢\tManage practice patient email accounts\nâ¢\tMaintain and replenish stock of forms available for patients completion\nâ¢\tMaintain register and manage return of medical equipment loaned to patient\nPrescriptions \nâ¢\tProcess requests for repeat medication in line with practice processes ensuring accurate and timely completion\nâ¢\tLiaise with patients, clinicians, local community pharmacies and external NHS Teams to resolve queries\nâ¢\tProcess requests for medication from wider NHS departments and external agencies\nâ¢\tMaintain security of prescription stationery\nDocument Management\nâ¢\tFile documents accurately and timely into patients records from electronic and manual systems\nâ¢\tWorkflow documents to admin team and clinicians appropriately and accurately\nReferral Management\nâ¢\tSubmit referrals to hospitals and departments for patients following clinical consultations\nâ¢\tRun searches on database to ensure work tasks are completed and take forward any actions outstanding\n\n\u2003\n\n\nMandatory Responsibilities\n\nConfidentiality\nâ¢\tPatients, staff and business confidentiality is integral to the maintenance of trust placed in us by our patients, colleagues and partners.
