Job overview This role offers an exciting opportunity to join the Radiotherapy (RT) and Proton Beam Therapy (PBT) team at UCLH. The post holder will provide comprehensive executive assistant and quality administrative support across the services. The postholder will be based in the Radiotherapy and Proton Beam Therapy department in the Uinversity College Hospital and Grafton Way Building. UCLH is seeking a committed individual with the energy and focus to continue building on the existing service of excellence. Radiotherapy services at UCLH are delivered across two departments. The photon department is equipped with Varian TrueBeam systems with advanced imaging packages and 6DoF couches. The department has a comprehensive brachytherapy suite and a Gulmay skin unit. UCLH is one of only two NHS sites delivering proton beam therapy across the NHS. The proton beam therapy (PBT) department is equipped with Varian ProBeam gantries with advanced imaging packages and robotic couches. Both departments have a dedicated CT scanner and the PBT department also has a dedicated MRI scanner. The department delivers radiotherapy services for a broad spectrum of cancers comprising of common cancers as well as specialist treatments including brachytherapy, and total body irradiation. The PBT department focus’s predominantly on head and neck, brain and sarcoma treatment sites. Paediatrics and TYAs make up approximately one third of the patient cohort. Advert The postholder will provide full and comprehensive executive assistant and quality administrative support to the Radiotherapy Services Manager, Proton Beam Therapy Operational Lead and Radiotherapy Services Quality Manager. They will work closely with the radiotherapy services Quality Team in the maintenance of the quality management system. They will be expected to form strong working relationships with the team leads taking on delegated duties, undertaking departmental audits, service evaluation, quality improvement projects, organising meetings and recording minutes. In addition, they will be required to assist with data entry onto clinical systems, to run reports and to collate data. The post holder will review performance data, trends, and processes, and use analysis and judgement to identify and propose opportunities for development and improvement. To provide full administrative support and diary management to the Radiotherapy Services Manager or Proton Beam Therapy Operational Lead • To provide full administrative support to the RT/PBT technical lead radiographer, Pre-treatment lead radiographer and Research and Development lead radiographer. • To provide full and comprehensive administrative support to the Radiotherapy Services Quality Manager. • To organise regular and ad hoc meetings for the RT/PBT department including venues, generation and distribution of agendas, minutes and other documentation and the recording of notes and minutes during meetings. • Ensure that recorded actions from meetings are followed up and acted on within the agreed timescale. • Assist members of the RT/PBT Department with the booking of travel and accommodation as required. • Assist team leads in recording of planned and unplanned leave and overall support of ESR and HealthRoster system to managers in RT/PBT. • To play a pivotal role in the stock control and purchasing of consumables for the whole RT/PBT department. • To actively maintain the ISO 9001:2008 Quality System. • To support the department in times of inspection, external audit or accreditation. • To undertake internal quality system audits. • To support the Cancer Division Audit Programme and to support the designated clinical audit lead to deliver this. • To support the Information & Support Superintendents in the development and production of a wide variety and large number of departmental site-specific patient information leaflets and booklets. • To provide QA administrative support to the Superintendent Radiographers in order to contribute to the efficiency of the PBT department. • To provide QA administrative support and appropriate documentation to other staff within the establishment in order to contribute to the efficiency of the department. • To provide QA administrative support/documentation to students, APs, and other members of staff undergoing training in the department, thus facilitating their ongoing education. • To assist with Data entry on to clinical systems. This may involve data entry into the planning database, amending/ inputting data into ARIA and running reports from the departmental databases and ARIA. • Review performance data, trends, and processes, and using analysis and judgement to identify and propose opportunities for development and improvement. • To review statistical process charts and advise the services team leads in changes that may require attention or to note. • To participate in monitoring compliance against nationally relevant targets • To prepare quality reports for presentation at meetings within the Trust, Radiotherapy Network Meetings, NHSE level meetings and those undertaken with any Private providers.
