Description:
Reports to: Fleet & Office Manager
REQUIREMENTS
Provide administrative and operational support to ensure smooth day-to-day shop operations.
Maintain and update tracking logs, schedules, and work orders using Excel and internal software systems.
Perform accurate data entry for purchase orders and coordinate with purchasing to verify material availability and delivery timelines.
Assist in coordinating daily and weekly fabrication schedules and shop meetings.
Prepare internal communications including meeting notes, memos, and correspondence.
Manage office and kitchen supply inventory; maintain conference room organization.
Upload and verify weekly time data and fabrication progress in time tracking systems.
Coordinate with departments such as Prefabrication, Fleet, Logistics, and VDC to support project needs.
Provide logistical and administrative support for meetings, deliveries, and work order status updates.
Support Fab Shop Managers and Supervisors with cross-functional tasks and department communications.
Work first-shift hours, Monday–Friday, with occasional afternoon or evening hours as needed (start times may be as early as 6:00 a.m.).
JOB DUTIES & RESPONSIBILITIES
Strong interpersonal skills, including the ability to resolve conflicts professionally, independently or with management support.
Ability to interface effectively, ethically, and professionally with individuals at all levels: executives, owners, staff, subcontractors, vendors, engineers, etc.
Demonstrated ability to work with minimal supervision while maintaining strong attention to detail and accuracy.
Skilled at prioritizing, multi-tasking, and meeting deadlines amid competing demands.
Effective communication skills in English (aural, verbal, and written); bilingual in Spanish preferred.
High School Diploma or GED (experience may be considered in lieu of education).
Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint).
Physically able to sit, stand, bend, walk, and remain in static positions throughout the shift.
Able to lift 5–25 lbs., with or without assistance, occasionally.
Ability to handle, protect, and maintain confidentiality of sensitive information (signed confidentiality agreement required).
Strong desire and ability to learn new tasks and software.
High attention to detail with highly accurate data entry skills.

SCOPE OF WORK
* Deals with multiple projects/tasks simultaneously while meeting deadlines.
* Works under general supervision of Fabrication Coordinator.
* Accountable for completing all assigned tasks accurately and timely.
* May work individually or on teams, as needed.
