Junior Office Administrator
Responsible for the day-to-day running of the Cask Trade office in London, and ensuring that cask samples and documentation is completed correctly and delivered to clients in a professional manner.
* Sample Send Outs – ensure all samples are sent out to clients in both the UK and internationally, tracking them and solving any custom issues.
* Certificates – ensure all Certificates are composed and sent in a timely manner, posting any that are requested, ensuring all cask details and client information is correct.
* Available Sample Inventory – check weekly the samples that are available for sale, ensuring any sold cask samples are moved into our Archive, any new samples that arrive are correctly labelled, inform the sales team, and logged correctly.
* Indicative Inventory – check weekly the bottles we have available in the indicative cabinet – ensuring we have the correct bottles available, identifying any missing, and informing Head of Ops with an order.
* Tasting Set Up and Clean Up – set up for all tastings, both private and trade, and clean up after events, this could be a trade tasting for 1 through to a private tasting for up to 12 guests, attention to detail is a must, making sure the clients receive the best experience.
* General Office Admin – maintaining the running of all offices, including our storage room, enabling a smooth and professional appearance at all times, making sure access is available to all event stock, and all office supplies are in good stock.
* General Admin assistance to all Departments – general assistance to all departments depending on business needs.
* Bottle management
Guidance and on the job support to be provided.
Person specification
· High level of IT skills – Google Drive, including Google sheets– essential.
· Proficient in Microsoft Excel & Word– essential.
· Basic Numeracy Skills
· Exceptional Organisational skills
· Quick learner
· Focused / Motivated / Proactive
· Good people person
· Able to take instruction.
· Able to work in a team environment.
· Basic Knowledge of and Interest in Whisky
· Available immediately (or short notice period).
Remuneration
· Full time – 40 hours a week
· Salary - £24k - £26k (dependent on experience)
· 9am-5pm in office, 5 days a week.
· Office location - Linen Hall, 162-168 Regent’s Street, London, W1B 5TG
· 28 days holiday plus bank holidays
· After a year’s service, access to MediCash.
· Laptop provided.
