Job Title: Receptionist/Facilities Coordinator
CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management.
We are recruiting a Facilities Coordinator to join the team located in Longbenton, Newcastle. The successful candidate will be responsible for providing the operational delivery of all Facility Management services.
Hours of Work: Monday to Friday 7.15am - 3.45pm (Full-Time) or Monday to Friday 11.00am - 7.30pm (Full-Time). Alternate shifts every other week.
Key Tasks:
Manning the reception desk and carrying out reception duties.
Meet and greet internal and external customers to site. Issuing visitors passes and lanyards.
Managing keys via site procedures, ensuring correct control, and conducting checks for the Facilities Manager.
Assist the site team with ad hoc requests and reactive works.
Support the site technician with requested works.
Ensure a safe & healthy working environment, complying with all policies and procedures.
Provide high-level customer service at reception, welcoming guests and staff.
Conduct daily walk rounds to ensure the site is tidy and well-maintained, reporting issues proactively.
Manage meeting room setups and support booking arrangements.
Register visitors and guests, ensuring passes are logged and managed properly.
Oversee the parking portal for staff, visitors, and contractors.
Assist with site events and ensure subcontractors work according to RAMs.
Issue ATWs, conduct DRA and BRR, and keep logbooks updated per CBRE policies.
Log reactive jobs on Si7, ensure timely closure.
Register subcontractors for PPM and reactive tasks, review service reports, and upload documentation.
Maintain subcontractor files and logbooks for audit readiness.
Update compliance certificates and create/issue staff passes.
Assist in preparing reports for clients.
Person Specification:
Knowledge of the facilities management industry.
Strong PC skills, including MS Office.
Good administrative and organizational skills.
Ability to prioritize and plan effectively.
Experience working with supply partners.
Excellent customer service and communication skills at all levels.
