Administrative Officer

The Headteacher and Governors of Seaham Harbour Nursery School are seeking to appoint a highly organised, professional and friendly Administrative Officer to join our team. The role is Permanent, Full Time with a Term Time Only schedule, and the successful candidate will be required to start on 1 September 2026.


Overview

Seaham Harbour Nursery School is a friendly, supportive and inclusive environment for the whole school community where everyone is respected and valued. This key post involves the efficient day‑to‑day running of the school office, providing high‑quality administrative, financial and organisational support, and acting as the first point of contact for parents, staff and visitors.


Responsibilities and Requirements

* Be experienced in school administration
* Have worked with school systems such as SIMS/Arbor, Oracle, Microsoft Office 365, etc.
* Have excellent IT skills
* Manage the day‑to‑day operation of the nursery school office, ensuring office systems and procedures are efficient and effective
* Maintain a welcoming, calm, supportive and well‑organised presence within the school office
* Provide a full range of administrative support to the Headteacher and senior staff
* Act as the first point of contact for parents, carers and visitors
* Deal with telephone, email and face‑to‑face enquiries in a professional and courteous manner
* Maintain accurate pupil records including admissions and attendance
* Support statutory returns and Local Authority processes
* Undertake financial administration (orders, invoices, budget support) and assist with budget monitoring and record keeping
* Manage and maintain accurate, auditable records for the Private School Fund and the collection of paid services/fees from parents
* Organise and maintain school office systems, records and databases (e.g. SIMS/Arbor); support recruitment processes and maintain the Single Central Record
* Ensure compliance with GDPR, safeguarding and statutory requirements
* Converse at ease with customers and provide advice in accurate spoken English


Pay and Leave

Standard term‑time pay is calculated on the basis of the following:

* Number of teaching weeks – 38 weeks
* Public (bank) holidays – 1.6 weeks (8 days)
* Individual leave entitlement – 5.4 weeks (27 days) for staff with less than 5 years’ service, or 6.4 weeks (32 days) for staff with more than 5 years’ service

Example calculations:

For staff with less than 5 years: 38 weeks + 27 days + 8 days = 45 weeks’ pay, paid in 12 equal monthly instalments.

For staff with more than 5 years: 38 weeks + 32 days + 8 days = 46 weeks’ pay, paid in 12 equal monthly instalments.
