Workplace Coordinator
Arm is seeking a proactive and diligent Workplace Coordinator to join our Workplace Team, supporting operational excellence across the Cambridge Campus. Reporting to the Senior Workplace Manager, you will play a key role in ensuring a positive end-user experience and efficient back-of-house operations. As a member of the team, applicants need to have experience as the first point of contact for onsite issues, including cleaning, maintenance, furniture, moves, and space management.
The applicant should be driven to operate in a fast-paced department within a growing organisation. This is an excellent opportunity for someone who is forward-thinking, motivated, open to new ways of thinking, and possesses a strong, confirmed customer service background. In addition, the individual should have project management experience, demonstrate exceptional attention to detail, be well organised, dedicated, able to meet deadlines, and committed to delivering a high level of customer service.
Key Responsibilities:
* Triage and Assign Issues: Work with the Workplace team to triage and assign a variety of end-user reported issues using our reporting tool, ServiceNow.
* Act as Cambridge Workplace Lead for purchasing: handle the purchasing lifecycle of all purchasing for Workplace Cambridge. Act as point of contact for Arm internal finance teams, sub contractors and service providers
* Illness and leave cover: Provide cover for the Reception and Post Room team in times of illness, planned leave or on an adhoc basis.
* Service Provider Liaison: Liaise with service providers as the need arises, ensuring effective communication and resolution of issues
* Team and Provider Support: Support the extended Workplace team and service providers with routine and ad hoc tasks.
* Deliver consistent, exceptional customer service under pressure and in a variety of situations.
Knowledge / Skills / Experience:
* Minimum 2 years' experience in a similar facilities or workplace role.
* Comfortable with tools and technology; experience with ServiceNow is an advantage.
* Ideally has IOSHH, Managing Safely
* Good interpersonal skills at all levels
* Good organisational and planning skills
* An understanding of Health, Safety and Environmental policies and procedures
* Willing to learn and tackle a wide variety of tasks and initiatives
* Ability to respond quickly to problems
* Great customer service skills
* Ability to take instruction from both line manager and end users
* Ability to work on own initiative
* Good administration skills with an eye for detail
* Teammate mind-set and can do approach with willingness to 'muck in' when required
* Meticulous, thorough – high level, accuracy and attention to detail
* Knowledge and comfort with MS Excel and MS Word
* An excellent communicator, both verbal and written skills
* Professional - excellent at working towards and delivering against deadlines and the ability to remain calm and work well under pressure
* Being an effective point of contact for the team
