Guest Services Coordinator – Signature – Mitie


Overview

Mitie is the UK’s leading facilities management and professional services company. The Guest Services Coordinator is the first point of contact for our organisation, providing exceptional customer service to clients, visitors and employees while maintaining high security awareness and uniform standards.


Responsibilities

* Greet visitors warmly, promptly attending to their needs.
* Answer and direct incoming calls courteously and efficiently.
* Maintain the reception area, ensuring cleanliness and organisation.
* Provide a site safety brief to all entrants.
* Assisting with client events and completing online Fire Warden training.
* Weekly stock checks and ordering of required stationery.
* Train new and temporary team members.
* Keep health and safety posters, leaflets and folders up to date.
* Collaborate with receptionists, WPM, Security, FM and administrative staff.
* Monitor and control access to premises, following security protocols.
* Verify visitor credentials, issue badges and report suspicious activity.
* Offer personalised assistance to clients, anticipating and addressing needs.
* Handle inquiries and resolve issues promptly, maintaining a high level of professionalism.
* Assist with administrative tasks: sorting mail, managing courier deliveries, booking meeting rooms and responding to the reception inbox.
* Maintain electronic and physical filing systems.
* Adhere to company uniform guidelines, maintaining a neat and professional appearance.


Qualifications

* 2 years’ previous customer service experience within a reception, switchboard or room booking environment.
* First Aider or willingness to undertake a course.
* Strong written and verbal communication skills.
* Proficiency with MS Outlook, Word, Excel and PowerPoint.
* Excellent organisational and multitasking abilities with keen attention to detail.
* Ability to remain composure and professionalism in fast‑paced or challenging situations.
* A Level (or equivalent) preferred.
