Job Description
The Service Delivery team is a core part of the Auction business, comprising Payments and Vendor support functions. These are responsible for delivering excellent customer service to both buyers and vendors, ensuring all processes are completed efficiently within the required timeframe/SLA, and facilitating successful sales with high-quality customer service.
Scope of Role
To support the smooth and accurate operation of the payments function, processing payments from buyers and to vendors accurately and promptly while maintaining customer service excellence.
Objectives for the Role
* Facilitate payments from customers via electronic fund transfer and funding partners, ensuring correct allocation to customer accounts.
* Monitor company bank accounts for payments received via telegraphic transfer.
* Keep the AIMS system updated with timely and accurate information.
* Complete after-sales invoicing, raise sundry invoices, ensure accuracy, distribute invoices, and process payments as appropriate.
* Close auction sales once invoicing is completed.
* Add delivery requests to invoices, prepare paperwork, and release deliveries to transport upon payment.
* Manage storage owed on overage vehicles, raise sundry invoices, handle related queries, and release when paid.
* Manage outstanding vehicle and sundry debts, contact customers for payment, and address related queries.
* Ensure all payments transacted balance at the end of each sale.
* Raise and process payments for sundry invoices.
* Complete necessary reports and explain any variances.
* Process vendor payments promptly, including managing the finance clearance process.
* Handle customer inquiries, issues, and concerns via face-to-face or telephone contact, adhering to Manheim’s customer service standards, escalating as necessary.
* Support or operate any ad hoc processes required to support the auction process and general duties.
