The post-holder is a key member of the Capital Programme Team and will be responsible for providing a wide a range of administrative support to the Capital Programme Team. Duties will include the development of effective reporting information systems, management of office administration, assisting in the maintenance and supporting the continuance of high standards of professional practice throughout the team.
The post-holder will be required to assist with the planning and delivery of programmes and projects and to lead on specific project work packages in accordance with the Capital Programme requirements, as well as provide programme and project support to the team and to meet internal and external requirements.
The post-holder will be expected to exercise initiative, prioritise conflicting work demands and communicate effectively verbally and in writing with the multi-disciplinary team, internal departments and external agencies to ensure Quality, Efficiency and Performance Improvement which will achieve excellence in patient care. The post-holder will play a central role in the delivery and tracking of the portfolio of Programmes and Projects across the directorate on behalf of the Capital Programme Team.
Main duties of the job
To act as the first point of contact for the Capital Programme Team, dealing with all enquiries in a proactive manner, using judgement and proposing solutions for complex enquiries.
To manage incoming correspondence and electronic messages and respond on behalf of the Capital Programme Team appropriately; including dealing with restricted information which may be potentially contentious, sensitive confidential issues relating to the Trust's Quality, Efficiency and Performance Improvement agenda.
To produce reports, documents and presentations using an advanced level of IT skills, using packages including Word, Excel, MS project and PowerPoint and with the ability to interrogate databases as relevant to the Capital Programme Team.
To undertake effective diary management; scheduling and prioritising appointments; arranging regular and ad hoc meetings with internal and external stakeholders and making decisions on the basis of need whilst ensuring workload priorities and commitments are maintained.
To manage the work schedule efficiently, prioritising complex activities and demonstrating flexibility where required to ensure smooth running of the Capital Programme Team, working unsupervised.
Qualifications, Accreditations, Education
* Educated to degree or equivalent relevant qualifications and knowledge or working at a similar level in a specialist area; specifically, a project and programme management office.
* Prince 2 Foundation or equivalent project management training
Experience
* Advanced experience of Microsoft Word and Outlook, PowerPoint and Excel and a comprehensive understanding of packages.
* Experience supporting programme or project governance processes
* Experience maintaining project documentation and reporting tools
* Ability to analyse and interpret data to produce performance reports
* Experience managing risk, issues and action logs within a project environment
* Experience of preparing reports and presentations.
* Experience of working with individuals at a senior level.
* Familiarity with the Office of Government Commerce (OCG) Projects in a Controlled Environment (PRINCE2) and Managing Successful Programmes (MSP) methodologies.
* Extensive experience of organising successful events / conferences.
* Demonstrable experience of contributing to the development and implementation of policy and processes
Knowledge and Skills
* Ability to work effectively within a multi-faceted and often pressured team environment and on own initiative.
* Excellent communication skills, both written and oral, and adept keyboard/typing skills.
* Ability to understand, act upon and convey highly complex, time critical information.
* Demonstrate experience of working in an administrative role and working with administrative systems supported by appropriate formal training.
* Proven administration experience including minute taking, and follow up administration.
* Able to exercise judgement and analytical skills in relation to planning and subsequent delivery.
* Highly effective organisational skills and a flexible approach to work.
