Job Summary

The ideal candidate will be expected to develop their role and become a fully integrated member of the practice team; they must be a highly motivated person with a positive attitude and excellent communications skills. Medical Receptionists are responsible for dealing with all matters concerning the care of patients either face to face or by telephone. A professional approach is essential for the day to day running of the practice. The Reception and Administration team creates a positive, friendly and caring patient experience, responsible for both the traditional reception role of welcoming and signposting patients to appropriate healthcare professionals and administering the busy back‑office work of prescriptions, coding correspondence, and providing task‑based support to the clinicians and management. This is a fast‑paced role in a busy and demanding environment. We need our team to be flexible, resilient, well organised, and able to problem‑solve and multi‑task whilst maintaining a friendly and approachable manner. A vital part of the role is to provide excellent patient care and communication. It is essential to remain calm and empathic with a professional manner. You must also be assertive in demanding situations which arise. Previous experience in the NHS is an advantage but not essential for this post as full training will be given.


Main duties of the job

* Booking patient appointments as appropriate on the practice appointment system.
* Processing prescriptions, coding correspondence, scanning and work flowing documents.
* Dealing with general enquiries, making patient review appointments, taking accurate messages and actioning with appropriate delivery.
* Providing task‑based support to the Clinicians and Management Team.
* Answer incoming phone calls, transferring calls or dealing with the callers request appropriately.
* Signpost patients to the correct services.
* Initiating contact with and responding to requests from patients, team members and external agencies.
* Clinically code data on the Practice EMIS system.
* Data entry of new and temporary registrations and relevant patient information as required.
* Input accurate data into patients healthcare records as necessary.
* Direct requests as appropriate for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative and Secretarial team.
* Manage all queries as necessary in an efficient manner.
* Maintain a clean, tidy, effective working area at all times.
* Monitor and maintain the reception area and notice boards.
* Support all clinical staff with general tasks as requested.


About Us

Northgate Medical Centre is looking to recruit a part‑time Medical Receptionist. The post is 22 hours per week. Flexibility in working days is needed for this position, taking into consideration annual leave and staff sickness. We are a forward‑thinking friendly practice based in Chester City Centre. Our aim is to provide excellent patient care whilst maintaining a good work life balance. We are a training practice for Medical Students, GP Registrars, Foundation GPs and Student Nurses. We have a practice list size of approximately 8300 patients. Northgate Medical Centre is also part of Chester Central Primary Care Network (CCPCN) which is a collaboration of 6 GP Practices within Chester City Centre. The PCN team already includes Social Prescribing Link Workers, Health & Wellbeing Coaches, a Clinical Pharmacist, a Pharmacy Technician, a Dietician, and Paramedics.

Responsibilities

* Undertake a wide range of reception duties and provide general support to the multidisciplinary team.
* Greet and direct patients, use the appointment system efficiently, book appointments, order repeat prescriptions, and process information.
* Assist patients as required and attend regular staff training meetings.
* Act as central point of contact for patients, distribute information, messages and enquiries for the clinical team, liaise with multidisciplinary team members and external agencies.
* Contribute to the friendly busy team and maintain a professional approachable manner, multi‑task and prioritise work.

Experience – Essential

* Experience of working with the general public.
* Experience of administrative duties.
* Demonstration of Customer Care Skills.


Experience – Desirable

* Previous experience of working in a healthcare setting, Primary Care or NHS.


Qualifications – Essential

* Educated to GCSE level or equivalent.


Qualifications – Desirable

* GCSE Maths and English (C or above).
Any qualification in administration work.


Skills – Essential

* Excellent communication skills.
* Strong IT skills.
* Clear and polite telephone manner.
* Clear communication skills both verbally and in writing.
* Excellent administrative and organisational skills with ability to prioritise work.
* Competent use of Office and Outlook.
* Effective time management skills.
* Ability to work as a team member and autonomously.
* Good interpersonal skills.
* Problem‑solving and analytical skills in a busy fast‑paced environment.
* Ability to follow policy and procedure.


Skills – Desirable

* GCSE Maths and English (C or above) – desirable.
* Any qualification in administration work – desirable.
