Fleet Services Co-ordinator

Fixed Term Contract - Until March 2027 (potential to be extended)

Grade A - £24,796 - £28,142 pro rata

Consultation grade - subject to formal evaluation under the Pay Equity Review

Working 36.5 hours per week

Are you organised, detail-oriented, and passionate about keeping things running smoothly?

Birmingham City Council is looking for Fleet Services Coordinators to join our newly created Vehicle Maintenance Service (VMS) to support the day-to-day operations of our fleet. You’ll play a vital role in ensuring our vehicles are compliant, well-maintained, and efficiently managed. Working closely with the VMS Administration Manager and other team members, you’ll help keep our fleet safe, legal, and operational – supporting services that make a real difference across the city.


Key Responsibilities

* Maintain accurate records for vehicle tax, MOTs, insurance, and licences.
* Monitor servicing schedules and coordinate maintenance and tyre replacements.
* Assist with vehicle hire arrangements and insurance claims.
* Input and manage fleet data, including fuel usage and mileage.
* Prepare reports to support operational decision-making.
* Liaise with internal teams and external providers to resolve issues and ensure service continuity.
* Contribute to continuous improvement initiatives around safety, sustainability, and cost-efficiency.


What We’re Looking For

* Proficiency in IT systems, including fleet management software and Microsoft Office.
* Experience in fleet operations, transport, or logistics, or in a role supporting vehicle compliance, maintenance or hire.
* Experience of maintaining records for vehicle tax, MOTs, licensing, insurance and servicing.
* Strong understanding of vehicle compliance requirements.
* Ability to organise and prioritise workloads to meet strict deadlines.
* Excellent verbal and written communication including report writing.
* Ability to analyse fleet data to identify trends and risks.
* Commitment to upholding safety and compliance within fleet operations.
* Ability to travel around the City as required – driving licence is desirable.
