Key details

Location: Kingslea House, Francis Road, Manchester, M20 4X, Major / Minor Region Manchester
Contract: Secondment – 12 months
Working pattern: Full time – 37.5 hours per week (Mon – Fri, 9am – 5pm)
Salary: £24,625 – £25,674 per annum pro rata (Grade Band 3, Main area Administration)


Job Overview

Provide an efficient and effective administrative service within the Community Mental Health Team, carrying out all administrative tasks in relation to the role. Responsibilities include answering telephone calls to patients, relatives and various clinical staff, handling all incoming and outgoing mail, maintaining filing systems, entering data into the PARIS computerised system, producing minutes, supervising reception staff and apprentices, and ensuring accurate and timely record keeping.


Responsibilities

* Provide admin support to the clinical team in relation to care plans and clinical correspondence.
* Deal with all incoming and outgoing mail, processing, distributing and responding within limits.
* Ensure sufficient stocks of stationery are available, preventing stockpiling.
* Coordinate and facilitate the dissemination of information to and from the team.
* Respond to telephone callers efficiently, precisely and courteously.
* Produce minutes from daily zoning meetings, MDT or any other team meeting as required.
* Supervise receptionist and apprentices, providing line management and guidance.
* Maintain filing systems suitable to the needs of the service.
* Enter client records into health and social services computer systems, and record referrals and discharges for statistical purposes on the PARIS system.
* Scan appropriate documentation to update patient records.
* Record messages accurately in the daily diary for all team members.
* Type correspondence and reports, amending format and grammar as necessary within PARIS.
* Develop an understanding of the PARIS system and maintain data quality.


Qualifications – Person Specification

* Essential criteria
o Travel within Manchester area and occasional travel across the Trust.
o Knowledge and understanding of the Data Protection Act.
o Knowledge and understanding of client confidentiality.
o Experience working in an office environment ensuring confidentiality at all times.
o Experience in a busy office environment.
o Confident telephone manner.
o Good level of education: Maths and English.
o Recognised competency-based level 3 qualification in a relevant subject (NVQ, BTEC QCF, Apprenticeship) or equivalent experience.
o Effective time management skills, ability to prioritise and plan complex work demands.
o Excellent telephone manner and outstanding communication skills.
o Ability to navigate IT systems, including Excel, Word and PowerPoint.
o Ability to be numerate and provide statistical data accurately.
* Desirable criteria
o Knowledge of mental health issues and challenges.
o Knowledge of medical terminology.
o Experience working with members of the general public, including patients/service users.
o Using EPR systems.
o Other relevant IT qualifications (e.g., RSA 2).
o Patient administration background.
o Knowledge of the EPR system.
o Minute taking.
