PE Global is recruiting an Executive Assistant for our pharmaceutical/regulated client based in Harlow. The role is until the end of September 2026. The rate for this role is £16 per hour.
Responsibilities:
* Provide administrative support to senior regulatory professionals and the Vice President of Regulatory Affairs, including diary management and scheduling.
* Manage travel arrangements and other logistical support for senior staff.
* Process expenses accurately and promptly in internal systems.
* Manage receipt and processing of official documents requiring signatures, notarization, or apostille.
* Compile and track training and travel requests, approvals, and related documentation.
* Support ad hoc tasks including scanning, archiving, presentations, and spreadsheets.
* Order and manage departmental stationery and supplies.
* Maintain and update organizational charts and internal documentation systems.
* Raise and handle purchase orders and manage internal departmental lists in relevant systems.
* Assist with occasional event management as required.
* Support departmental systems such as travel and expense software and internal workflow platforms.
* Act as a point of contact for other senior professionals within the department, coordinating requests and tasks as needed.
* Prioritize workload, maintain attention to detail, and ensure confidentiality at all times.
Requirements:
* 5–10 years of prior office and administrative experience preferred.
* Proficient in Microsoft Office (Word, Excel, PowerPoint) and Adobe.
* Experience with Outlook and Teams.
* Knowledge of travel and expense management systems (e.g., SAP Concur) and Ariba preferred.
* Familiarity with SAP is advantageous.
* Excellent attention to detail and accuracy.
* Strong typing skills and the ability to work under pressure to meet deadlines.
* Effective organizational and prioritization skills.
* Strong communication skills.
