Job Description
As Hire Desk Coordinator, you'll:
● Manage daily operations for the hire desk
● Coordinate booking requests, processing hires, and returns
● Communicate with rental customers and internal teams for scheduling
● Maintain accurate rental documentation (orders, agreements, returns)
● Monitor stock levels and report equipment availability or maintenance needs
● Work with technical teams to ensure equipment is service-ready
● Provide outstanding customer service and respond promptly to enquiries
● Implement hire desk procedures and workflows
Key Responsibilities
2. Documentation & Administration ○ Prepare hire contracts, issue invoices, log returns and damage reports.
3. Inventory Tracking ○ Update our hire system, flag low stock, assist equipment procurement.
4. Customer Engagement○ Serve as the point of contact for customers, managing enquiries and issues.
5. Cross‑Team Collaboration ○ Coordinate with logistics, technical, and projects departments.
6. Continuous Improvement ○ Assist in refining processes to boost desk efficiency and service quality.
● Strong administrative capability: order processing, documentation management
● Excellent organisational skills with acute attention to detail
● Confident communicator, comfortable liaising with customers and multiple departments
● Process-oriented mindset; adept at implementing structure
● Proficient in MS Office (especially Excel); experience with rental or inventory systems is a bonus

● Either technical or industry background in AV, events, or equipment hire
● Able to multitask and prioritise in a busy, deadline-driven environment

● Team player with good initiative and ownership
● Flexible to accommodate periods of peak workload
Qualifications
● Ideally 2+ years in hire desk, equipment rental, events, or logistic administration
● A Level or equivalent; degree-level qualifications are welcomed but not essential
● Salary aligned with experience (typical range for Hire Coordinator roles £25k–£35k)
● Benefits will include pension, holiday entitlement, employee events, training & development opportunities
● Full-time, 42.5 hours per week; occasional early starts or late finishes depending on hire returns
● Reports to Hire Desk Manager for the branch
