Job Description Summary As an Order Management Specialist, you will be responsible for activities and processes that help the sales organization achieve business objectives through the management of customer orders from Order booking to invoice. You will be responsible for providing support to sales team in various administrative tasks like placing orders, creating order acknowledgements, checking availability of products, shipping information, etc. This person will also handle any complaints or issues regarding orders placed by customers and ensure they are resolved promptly and effectively. Create order acknowledgement forms and send them to customers upon receipt of their orders. Check product availability at warehouse/distributor level before processing customer’s order placement request. Communicate shipping details (date of shipment & estimated delivery date) to customers as soon as this information becomes available. Provide updates on backorder status of products to customers who have placed orders for out-of-stock items. Maintain files related to customer orders, including order forms, customer records, shipping documents, etc. Handle customer complaints or issues regarding orders placed by them in a timely manner so that satisfactory solutions can be provided without compromising on quality standards or service levels. Recommend ways to improve existing processes related to order management activities. Management of Order management key dates inline with SOP's and KPI's Work closely with internal departments such as finance/accounting, marketing, technical support teams, logistics providers, etc., to ensure smooth execution of all aspects involved in managing customer orders successfully. Qualifications Bachelor's degree in Business Administration, Marketing, or equivalent experience preferred. Some relevant work experience required. Strong analytical skills needed to resolve complex problems associated with order fulfillment processes. Excellent interpersonal communication skills essential for dealing effectively with both internal stakeholders (e.g., colleagues within different departments) and external customers (e.g., doctors, nurses). Proficiency in Microsoft Office Suite (MS Excel, MS Word, PowerPoint), SAP system, and other relevant software applications. Ability to multitask effectively while maintaining high attention to detail and accuracy. Strong organizational skills necessary to prioritize tasks based on urgency and importance. Flexibility to work extended hours during peak periods if required. Knowledge of medical device industry and regulatory requirements would be beneficial but not mandatory. Demonstrated ability to take initiative and work independently with minimal supervision. Proactive approach towards identifying opportunities for process improvement and suggesting innovative solutions.
