* To workwith the Workshop Controller and front of house to control the flow of jobcards to maximize technician utilization and administrator invoicing
* Ensure alljob packs meet manufacturer guidelines
* Achieveall KPI’s as set out by the company and manufacturer
Reporting
* The Workshop Admin Support will report to the Service Manager
Key Responsibilities
* Quality check job pack in line with audit standards and deliver to admin team in a timely fashion
* Track jobs through the workshop system, proactively identifying delays or missing information.
* Liaise with technicians, service advisors, and parts teams to ensure all required details are captured for invoicing.
* Ensure all labour, parts, and subcontractor costs are correctly allocated to each job.
* Assist the workshop controller with day to day admin support
* Prepare and administer esculabs and Customer authority portals
* To monitor and update workshop loading to maximize sold hours
* Ensure service reception is constantly updated on workshop progress with internal communication to best practice standards.
* Obtain authorization for any additional work either through service reception or by direct contact with the customer.
* Maintain a full audit trail of authorisations and customer communication (eWIP)
* Ensure quality control procedures are carried out
* Ensure correct completion of Visual Health Check process
* Provide Service Advisor cover in times of absence and assist with job pack creation, updates, eWIP management as and when required.
* Comply with all Health and Safety regulations
Key Performance Indicators
* Ensure job pack is inline with manufacturer standards/quality before issuing for invoicing
* Achieve operationaland financial targets through job card quality and speed of invoicing.
