Senior Medical Secretary

We are lookingfor an enthusiastic and dedicated individual to provide a comprehensiveadministrative and senior medical secretarial service with the Redditch andBromsgrove Older Adult Community Mental Health Team based at New Haven,Princess of Wales Community Hospital, Bromsgrove as a Band 4 Senior MedicalSecretary.

The core working hours of the team areMonday to Friday 9-5 and the post is 15 hours per week.

There are opportunities to developspecialist skills and you will receive regular supervision. The role will bevaried providing the successful applicant with an opportunity to gain valuableexperience within Older Adult Mental Health Services.

Main duties of the job

A typical day will include:

* Answering/ dealing with telephone enquires in a tactful and professional manner,recording any messages efficiently.
* Carryingout any digital dictation / copy typing duties for the medics using Big HandDictation.
* Makingappointments as required and ensuring diaries are up to date.
* Keeping RIO(the patient electronic information system) up to date.
* Identifyingurgent test results.
* Providingday to day supervision for the junior admin staff.

Job responsibilities

* Workas part of the Medical Secretary team to provide an efficient andsmoothrunning secretarial service to the Consultants.
* Makearrangements for appointments as required. Maintain a diary and appointmentsystem for clinics and make arrangements for special appointments for patients/relatives, consultations in the home and emergency visits as required.
* Handletelephone enquiries regarding appointments, cancellations referring wherenecessary to the appropriate person and acting within the guidelines laid down.
* Undertakeaudio/copy typing duties, including reports, clinic letters, dischargesummaries and other confidential documentation.
* Identifyurgent results and bring to Consultants attention.
* Undertakeother general office duties, which may include e-mailing, photocopying,scanning and filing.
* Attendservice and clinical meetings, as required.
* Dealwith incoming and outgoing post.

The successful applicant should have aminimum of 3 years administrative / secretarial experience, minute takingexperience and experience of the supervision / management of staff.

The successful candidate should have bothorganisational and interpersonal skills with the ability to work well underpressure. As the successful candidatewill be dealing with patients, relatives and other healthcare professionals onthe phone /email, applicants must have excellent communication skills and willbe expected to have a courteous and efficient telephone manner. The successful candidate must be a good teamplayer and enjoy working within a multidisciplinary team. The team is busy, but supportive with a focuson staff well-being and development.

Additional Criteria

Qualifications

* Relevant Level 3 Medical Secretary qualification (e.g. Medical Terminology) or equivalent/experience.
* OCR/RSA 3 or equivalent in Text/ Word Processing or equivalent experience.
* GCSE at grade 9 4 (*A-C) or equivalent in English language
* I understand that I will be asked to provide original certificates to verify my qualifications at point of offer.


Experience

* Significant, recent Administrative/Secretarial experience.
* Arranging meetings, agendas and minute taking experience.
* Supervision/management of staff.
