Admin Manager needed at an SEN School in Truro.

This role is full-time on a temporary-permanent basis, pending application and successful interview.

Salary: £30,964 FTE per annum/pro rata (based on hours/working weeks). Includes 12 additional working days/on-call during school holidays.

Hours: Variable hours initially for 37 hrs per week, 39 weeks per year (term time plus CPD days), plus 12 days in the school holidays. Typical hours are 8:15 - 4:15 Monday to Thursday and 8:15 - 3:45 Friday.


Roles and Responsibilities

* Support the Headteacher with professional administrative duties and oversee the admin team.
* Maintain up-to-date staff and pupil records, including attendance, contacts, and medical needs.
* Manage HR administration, including recruitment, staff absence, and personnel records, following trust processes.
* Handle safeguarding administration and monitor the Single Central Record (SCR).
* Ensure administrative processes are accurate, secure, and GDPR compliant.
* Update Arbor and other records, ensuring data protection compliance and maintaining backup systems.
* Act as the first point of contact for HR queries, including completing staffing forms and liaising with the trust.
* Maintain staff files confidentially, following data retention policies.
* Manage DBS checks, pre-employment checks, and Letters of Assurance.
* Support recruitment, induction, and leaver processes.
* Administer pupil intake and departure records, ensuring confidentiality.
* Maintain electronic and manual records, including census returns and reports.
* Coordinate home/school transport with the Local Authority and liaise with relevant parties.
* Handle secretarial duties for the Headteacher, including diary management, correspondence, and minute-taking.
* Provide admin support to the SLT and assist with whole school events.
* Oversee reception and office staff, line managing team members.
* Ensure compliance with national and school policies.
* Manage incoming communications and the school calendar.
* Follow financial procedures for purchasing, invoicing, and banking; support staff with related queries.
* Attend budget meetings when invited.
* Process expense claims and maintain records.
* Liaise with suppliers, contractors, and external agencies.
* Book supply staff and coordinate staff cover.
* Manage staff absence, including recording and monitoring.
* Oversee work placements and volunteers.
* Conduct inductions for new staff.
* Participate in fire drills and emergency communications.
* Liaise with the media when necessary, supporting the Headteacher or SLT.
* Support Ofsted inspections and other audits.
* Prioritize pupils' needs and understand the impact of this role on the pupils and the school.
* Support other staff and cover duties across sites as needed.
* Adhere to Trust values, policies, and procedures.
* Engage in self-development and attend relevant meetings.
* Perform other duties as appropriate to the role.
