Office Manager – Manchester (Full-Time, On-Site)

Role Overview

Rezzil is looking for a highly capable Office Manager to run day‑to‑day operations in our Manchester office and provide reliable support across the business. You will be the operational hub for the workplace—managing facilities, suppliers, people ops logistics, and office systems—ensuring the environment is professional, efficient, and ready for teams and visitors.

You’ll work closely with senior leadership, Finance, People/HR, and IT to maintain a smooth, compliant, and positive workplace experience.

Location: Manchester office, full-time on‑site

Flexibility: Occasional out‑of‑hours support for events, contractors, or key business moments

Key Responsibilities

Office Operations & Facilities

* Oversee daily office running: meeting room readiness, standards, supplies, and general workplace environment
* Manage facilities contractors and landlord relationships (repairs, maintenance, access, cleaning, utilities)
* Maintain H&S processes (risk checks, fire safety, first aid supplies, incident logs)
* Ensure the office is always “client ready”

Procurement & Vendor Management

* Source and manage suppliers (stationery, courier, catering, cleaning, waste, IT peripherals)
* Handle purchase requests, POs, invoice routing, and basic reconciliations with Finance
* Track spend and identify cost‑efficient improvements

Front of House & Workplace Experience

* Welcome visitors, manage site access, coordinate meeting room logistics and refreshments
* Support internal culture moments: team lunches, onboarding welcomes, celebrations, wellbeing activities
* Assist leadership with meeting setup and practical logistics

People Operations Support

* Coordinate onboarding/offboarding logistics with HR and IT (equipment, access, workspace setup)
* Maintain office‑related employee records (seating plans, access lists, attendance/visitor logs)
* Support operational rollout of internal policies (office protocols, travel/expenses processes)

IT & Asset Coordination

* Manage office-side IT logistics: equipment delivery/returns, loan kit tracking, inventory basics
* Coordinate fixes for critical office tech (screens, conferencing equipment, printers)
* Support hardware tracking and office security processes

Travel & Event Logistics

* Assist with travel bookings for visitors or operational needs
* Support logistics for events, partner meetings, capture days, and occasional offsites

Continuous Improvement

* Build simple, scalable office playbooks and checklists
* Spot operational friction and deliver practical improvements

Skills & Experience

Essential

* Proven experience in Office Management / Workplace or Operations Coordination
* Strong organisational skills and ability to manage multiple workstreams
* Experience in a scaling tech, games/immersive, sports‑tech, or creative environment
* Commercially minded: comfortable with suppliers, quotes, invoices, budgets
* High standards of professionalism and presentation
* Excellent communication with staff, contractors, and senior stakeholders
* Strong IT literacy (Google Workspace or Microsoft 365; calendars; spreadsheets)

Desirable

* Basic understanding of compliance, visitor/security processes, or contractor management
* Experience coordinating onboarding/offboarding with HR/IT
* Familiarity with asset tracking or inventory processes

What Success Looks Like (3–6 Months)

* The Manchester office runs smoothly with clear standards and minimal firefighting
* Onboarding/offboarding is polished and reliable
* Vendors, supplies, and systems are cost‑effective and well‑documented
* Teams trust the office function; issues are resolved quickly
* Leadership has improved operational visibility (simple trackers, predictable processes)
