Executive Assistant - Business Support Officer

Location: Bristol, BS34 8QW
Working Pattern: Hybrid - Minimum 3 days in the office
Hours: hours between 7am - 6pm (flexibility required)
Contract: until February 2027 (chance of an extension)
Clearance: SC Clearance Required

Pay Rate: £15.38 per hour (paid weekly)

We are seeking an experienced business support officer to provide high-level support to up to two Deputy Directors within a busy and dynamic directorate. This is a key role at the heart of the senior leadership team, ensuring smooth coordination, effective communication and seamless diary management.

The Role

You will play a central role in delivering professional, efficient and confidential executive support, while working collaboratively with the wider Outer Office team to ensure full coverage across the Senior Leadership Team.

Key responsibilities include:

* Managing the diaries of up to two Deputy Directors, ensuring effective prioritisation and coordination
* Working collaboratively with the Outer Office team to arrange meetings and coordinate calendar invitations
* Booking meeting rooms, preparing agendas and distributing meeting documentation
* Coordinating and monitoring the SCD Outer Office multiuser account
* Maintaining staff lists, organisation charts and supporting induction materials for new starters
* Managing the Directorate SharePoint site and MS Teams area
* Arranging all business travel and accommodation for the Senior Leadership Team
* Providing support in the absence of the Chief of Staff and/or Diary Secretary as required
* Supporting internal communications and event engagement under the direction of the Chief of Staff, working alongside communications leads

About You

To succeed in this role, you will be:

* Highly organised with strong diary management experience at senior level
* Confident working in a collaborative team environment
* Comfortable handling sensitive and confidential information
* Proactive, adaptable and able to manage competing priorities
* Experienced in using Microsoft Office, SharePoint and MS Teams
